Job summary

Wates Smartspace, based in London, is seeking a Senior Secretary to provide first-class support to the Managing Director. This role blends strategic diary management with high‑level administrative coordination in a fast-paced environment.

You will coordinate meetings, travel and events, prepare briefing packs, attend meetings for minutes, and help manage board activities while upholding discretion and professionalism.

Qualifications

  • Previous experience in an Executive Assistant or Personal Assistant role supporting senior leadership.
  • Outstanding organisational and planning skills.
  • The ability to prioritise effectively in a busy and demanding environment.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • The confidence to work with senior stakeholders and board-level colleagues.
  • A proactive mindset with the ability to anticipate needs and solve problems before they arise.
  • High levels of discretion and professionalism when handling confidential information.
  • Strong project coordination and follow-through capabilities.

Responsibilities

  • Managing a complex and demanding diary, coordinating meetings, travel and events.
  • Organising business and personal travel arrangements, ensuring seamless planning and execution.
  • Preparing meeting packs, agendas, presentations and briefing documents.
  • Attending meetings, producing accurate minutes and tracking actions through to completion.
  • Drafting, proofreading and managing correspondence, reports and business documentation.
  • Proactively monitoring commitments, deadlines and key business priorities.
  • Working closely with board members and senior stakeholders to provide exceptional support.
  • Producing reports, research and information to support decision-making.
  • Maintaining efficient electronic and paper filing systems.
  • Supporting with financial administration and record keeping where required.
  • Leading and delivering specific projects from initiation through to completion.
  • Continuously improving processes and systems to enhance efficiency and effectiveness.
