Executive Assistant to the COO & CFO

Purpose of the Role

As Executive Assistant to the COO & CFO, you will be the strategic operational backbone supporting executive leadership across all business units. You'll manage complex calendars, communications, and administrative functions while serving as a trusted liaison between executives and stakeholders. Your exceptional organisational abilities and business acumen will enable senior leadership to maximise their effectiveness, ensuring seamless execution of priorities and contributing directly to the company's operational excellence and growth objectives.

Key Responsibilities

Executive Support & Coordination

As the trusted right hand to the COO & CFO, you’ll ensure the smooth running of day-to-day executive operations. You will:

  • Masterfully manage complex diaries, meeting schedules, and inboxes
  • Join key meetings and take the lead on tracking and following up on action items
  • Build and maintain clear Standard Operating Procedures (SOPs) for repeatable processes
  • Support business-critical processes across multiple functions
  • Organise seamless travel and expense management
  • Create impactful presentations and prepare documentation for high-stakes internal and external meetings
  • Work hand-in-hand with the wider EA team to deliver Leadership Meetings and internal events
  • Maintain structured and accessible digital filing systems
  • Take ownership of special projects, delivering on time and to spec
  • Help prepare quarterly business reviews and board documentation
  • Liaise with IT to proactively support executive tech needs and resolve issues
  • Own leadership meeting logistics: preparing agendas, coordinating materials, and drafting detailed minutes (including transcript-based where needed)
  • Ensure cross-functional meetings are efficient and productive by managing pre-reads, logistics, and follow-ups
  • Confidently run virtual meetings, including all technical setup and troubleshooting

Team Coordination & Support

Be the cultural connector and operational anchor within the wider team. You will:

  • Act as a liaison between the COO/CFO and internal departments to maintain alignment
  • Organise team celebrations, communications, and engagement activities that reinforce team culture
  • Help deliver smooth onboarding for new joiners in the COO & CFO’s team
  • Support planning and logistics for offsites, meetings, and events

Communication & Stakeholder Engagement

Represent the COO & CFO with professionalism and polish at every touchpoint. You will:

  • Manage incoming communication and responses on their behalf, ensuring a seamless stakeholder experience
  • Build trusted relationships with team members, clients, and external partners
  • Maintain a high standard of communication — written, verbal, and interpersonal
  • Follow up with stakeholders across the business to ensure timely progress on key actions and deliverables

Skills, Experience, and Qualifications

Essential Skills

  • Experience handling sensitive information with discretion, confidentiality, and sound judgment
  • Excellent verbal and written communication skills, with strong grammar, spelling, and attention to detail
  • High level of proficiency with Microsoft 365, including advanced PowerPoint design
  • Resilient under pressure with ability to remain calm during stressful situations
  • Proven ability to work independently, prioritise effectively, and follow through on deliverables
  • Professional credibility and a track record of integrity and accountability
  • At least A-level or equivalent education
  • Experience with project management software (e.g. Monday.com)
  • Flexibility to occasionally work outside standard business hours when required
  • Willingness to support ad-hoc requests during business-critical periods
