职位概述

我们正在寻找一位热情、具备团队协作精神的活动协调与行政专员,负责全年在办公场所举办的各类活动。此职位适合擅长细节管理和组织工作的候选人,能够应对繁忙多样的活动日程安排。具备敏锐的细节观察力以及与客户、同事和其他相关方建立并维护良好关系的能力,是胜任此岗位的关键。

主要职责

  1. 与内部和外部团队沟通,管理各类活动的筹备与执行工作(例如:场地预订/租赁、发送邀请函、拟定活动流程、现场协调等),确保活动顺利进行并达成业务目标;
  2. 与外部嘉宾沟通,确认讲座细节、出行安排及费用报销事项;
  3. 组织办公场所的内部活动,例如:茶歇、夏季聚会、圣诞派对等;
  4. 管理办公场所的日常运作,确保运营高效、顺畅,并符合公司政策要求;
  5. 为员工和管理层提供行政支持,包括处理往来信函、安排会议等;
  6. 维护办公用品库存,进行采购并安排付款;
  7. 其他事务:根据业务需要处理临时任务和紧急情况,以支持各业务团队。

任职资格

对岗位所需的知识、技能、经验和资质的要求如下:

Event Coordinator and Administrator – Contractor

Job Summary

We’re looking for an enthusiastic and collaborative events coordinator and administrator to oversee the year-round program of events throughout the site. This job is suitable for someone who enjoys high levels of detail and organisation, and who can keep on top of a busy and varied schedule of events across the site. A keen eye for detail and an ability to build and maintain relationships with the customers, colleagues and other stakeholders is crucial to succeeding in this role.

Key Responsibilities

  • liaise with internal and external teams to manage all event preparations and operations (e.g., venue booking/hire, send invitations, draft programme, run events) and ensure successful achievement of business goals;
  • communicate with external guests to confirm details of talks, travel arrangements, and reimbursements;
  • organise office events such as coffee breaks, summer parties, Christmas parties;
  • manage site operations and daily functions to ensure smooth, efficient operations and compliance with company policies;
  • provide administrative support to staff and management, including handling correspondence and scheduling meetings;
  • maintain inventory of office supplies, place orders, and arrange payments;
  • handle other ad hoc requests and urgent cases to support business teams.

Person Specification

  • Well-organized with multi-tasking skills;
  • Ability to communicate effectively and solve problems;
  • Strong interpersonal and communication skills;
  • Good working knowledge of MS Office;
  • Proficient in spoken and written English and Mandarin is essential.
