Job summary

Gloucestershire Hospitals NHS Foundation Trust is seeking an administrative admissions co-ordinator for the Endoscopy departments. You will provide a confidential admissions service to consultants and teams, manage Straight to Test bookings and cancer waiting lists, and communicate with patients and staff to ensure a proficient service.

The role requires GCSEs, strong MS Office skills, and the ability to work both as part of a team and autonomously, with attention to detail and data accuracy.

Qualifications

  • Educated to GCSE level with minimum grade C in Maths and English.
  • Experience of Microsoft Office including Outlook, Word, Excel and PowerPoint.
  • Proven administrative experience including initiating and maintaining office systems.
  • Experience handling telephone enquiries.
  • Experience planning and organising administrative tasks.
  • Ability to manage own workload and meet deadlines.
  • Clear written and verbal communication skills.
  • Ability to work as part of a team and autonomously.
  • Attention to detail and accurate data input.

Responsibilities

  • Provide a full confidential administrative admission service to consultants and their teams for Endoscopy.
  • Assist with Straight to Test bookings and cancer waiting list management.
  • Communicate with patients, consultants, secretaries, relatives and GP staff.
  • Train new staff and cover for absence where necessary.
  • Process data quality reports and implement corrections.
  • Converse with patients over the telephone regarding admission and preparation.
  • Manage own workload and support clerical team daily.

Job description

The post holder will provide a full and confidential administrative admission service to consultants and their teams for all of the Endoscopy departments at Gloucestershire Hospital NHS Foundation Trust. Assist with the Straight to Test bookings and cancer waiting list management. Communication with patients, consultants, secretaries, relatives, general practitioners and other hospital staff is also essential to help ensure a proficient service for patients and clinicians. To assist with the training of new staff and provide cover for absence where necessary. To process data quality reports and ensure corrections are made as necessary. Additional working pattern details: Mon - Friday 8am-4pm or 7.30am- 3.30pm, Converse with patients over the telephone providing sensitive information regarding their admission, preparation and resolving any queries which can on occasion involve dealing with people who have difficulty in understanding a situation or who may be aggressive or upset requiring sensitivity and use of initiative. Manage own workload to ensure all tasks are completed within a timely manner, together with working as part of the clerical team on a day to day basis., Please see the attached job description and person specification for more details on the main responsibilities of this vacancy.
