Arriva UK Bus is seeking a highly organised ER Administrator to join our Employee Relations team, providing essential support across a wide range of people matters.

Qualifications

  • Previous HR, Employee Relations, HR Shared Services, or admin support role experience.
  • Excellent organisational skills with ability to multitask.
  • Excellent attention to detail and accurate record-keeping.
  • Understanding of HR processes and ER procedures is advantageous.
  • Ability to handle sensitive information discreetly.
  • Strong communication skills with stakeholders.
  • Proactive approach to problem-solving and improvement.
  • Ability to work independently and in a team.
  • Good knowledge of Microsoft Office and HR systems.
  • Experience with case management systems or workflows.
  • Willingness to learn employment law and HR best practice.

Responsibilities

  • Act as first point of contact for ER queries.
  • Support administration of disciplinary, grievance, absence, performance, capability, and flexible working cases.
  • Maintain ER records and case management systems.
  • Monitor case progress and deadlines.
  • Prepare and issue hearing invitations, outcome letters, and supporting documentation.
  • Produce reports on case volumes, trends, compliance, and service levels.
  • Support preparation of hearing packs and meeting materials.
  • Conduct quality checks to ensure governance standards.
  • Maintain ER trackers and dashboards.
  • Coordinate meetings, hearings, and diary management.
  • Provide administrative support for organisational change projects.
  • Contribute to continuous improvement of ER processes.

At Arriva UK Bus, our people are at the heart of everything we do. We're looking for a highly organised and detail-oriented ER Administrator to join our Employee Relations team, providing essential support across a wide range of people matters.

The Role

As an ER Administrator, you'll play a key role in supporting the effective delivery of employee relations processes across the business. Working closely with the Senior ER Business Partner, ER Business Partners, HR colleagues, and operational managers, you'll help ensure employee relations cases are managed efficiently, accurately, and in line with company policies and procedures.

You'll be responsible for coordinating case administration, managing documentation, maintaining accurate records, tracking case progression, and providing a professional and responsive service to stakeholders across the organisation.

What You'll Be Doing
  • Acting as the first point of contact for Employee Relations queries and directing cases appropriately.
  • Supporting the administration of disciplinary, grievance, absence management, performance, capability, and flexible working cases.
  • Maintaining accurate employee relations records and case management systems.
  • Monitoring case progress and ensuring key deadlines and milestones are met.
  • Preparing and issuing correspondence, including hearing invitations, outcome letters, and supporting documentation.
  • Producing reports and management information relating to case volumes, trends, compliance, and service levels.
  • Supporting the preparation of hearing packs, consultation documentation, and meeting materials.
  • Conducting quality checks and audits to ensure case files meet governance and compliance standards.
  • Maintaining ER trackers, dashboards, and databases to ensure information remains accurate and up to date.
  • Coordinating meetings, hearings, and diary management activities where required.
  • Providing administrative support for organisational change projects and wider people initiatives.
  • Contributing to the continuous improvement of ER processes, systems, and ways of working.
About You

You'll Ideally Have
  • Previous experience in an HR, Employee Relations, HR Shared Services, or administrative support role.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and a commitment to maintaining accurate records.
  • An understanding of HR processes and employee relations procedures would be advantageous.
  • The ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong communication skills and confidence interacting with a range of stakeholders.
  • A proactive approach to problem-solving and continuous improvement.
  • The ability to work independently while also contributing as part of a collaborative team.
  • Good working knowledge of Microsoft Office applications and HR systems.
  • Experience using case management systems, databases, or workflow management tools would be beneficial.
  • A willingness to learn and develop knowledge of employment law, Employee Relations, and HR best practice.
