Location: Lincoln

Working hours: Monday to Friday 07:30 - 16:30 (40 hours per week)

Salary: £28,000 - £30,000 DOE + OT

Job Purpose

To support the Facilities Manager in ensuring compliance with the agreement between EMCOR UK and the client. The Facilities Coordinator will manage the service deliverables for all soft services to promote an ethos of teamwork and to instil a culture of continuous improvement. You'll also provide administrative support to ensure that our workflow is delivered effectively and efficiently.

What You'll Do
  • Adherence to all EHS and client processes in a multi-use environment
  • Proactive management of helpdesk tasks and ensuring SLA achievement
  • Responsible for the day-to-day management of all soft services
  • Overseeing & covering reception duties when required
  • Carry out administrative duties for facilities including KPI auditing, collating records of quotations, and formulating minutes of meetings
  • Assist the FM to ensure all finance processes are followed and records kept up to date regarding extra works quotations and budget management
  • Ensure all soft services & M&E log book processes and procedures are achieved
  • Support the M&E Supervisor with maintaining the CAFM System and Asset Management database
  • Maintain and control stock levels of PPE, Office Stationery/Equipment
  • Handle all administrative requirements for the FM team
  • Develop and maintain relationships with suppliers and subcontractors
  • Minimize disruptions to clients during FM works, leading communication when required
  • Act upon reasonable requests from clients, customers, and colleagues
  • Assist the Operations Manager with administration duties for the account
  • Line manage cleaning and reception staff, as well as other soft services supplied by preferred vendors
Who You'll Be
  • Hold a full driving license
  • Strong command of written and spoken English
  • Knowledge of operational procedures such as supplier control, procurement, Health & Safety (IOSH Managing Safely & SIA license preferred but not essential)
  • Line management/supervision experience
  • Well organized with the ability to prioritize workloads
  • Previous customer service experience
  • Sound administrative skills
  • Excellent IT skills, including Office 365
  • Willingness to travel as required
