Job summary

The BVCA is seeking a full-time Events Executive to manage a variety of events including networking receptions and corporate dinners. Job description

This full-time role offers an exciting opportunity for an Events Executive with 2 years' solid professional events experience seeking a new challenge. The role involves end-to-end management of approximately 15 events annually, including networking receptions, corporate dinners, webinars, half-day forums, and breakfast roundtables. Event sizes will vary from 20 to 300 attendees, primarily in London, with some travel within the UK.

The role will offer you:
  1. Full end-to-end event planning, management, and delivery of designated events.
  2. Sourcing, recommending, and booking venues in London and the UK.
  3. Collaborating with the marketing team to plan and execute event marketing activities, including designing collateral such as programmes.
  4. Liaising with venues to ensure setup, catering, and AV requirements are met.
  5. Sourcing, recommending, and booking relevant suppliers and speakers.
  6. Providing speaker and content support, including researching speakers, issuing invites, follow-ups, RSVPs, and researching topics.
  7. Managing delegate bookings and feedback, producing debrief reports.
  8. Handling delegate management, including bookings and pre/post event correspondence.
  9. Maintaining records of attendee numbers and sales in CRM and relevant spreadsheets.
  10. On-site event support, including travel within London and overnight stays in the UK.
  11. Conducting comprehensive post-event wrap-up, including surveys, feedback, budget finalization, invoicing, and reporting.
  12. Updating CRM with contacts, marketing lists, bookings, and survey results.
  13. Managing event budgets, negotiating contracts, and achieving cost savings.
  14. Collaborating with the commercial team to meet or exceed gross profit targets.
  15. Providing post-event status reports to the Events Director.
Requirements

  1. 1.5-2 years of events experience within the membership, charity, or corporate sectors.
  2. Strong project management skills, delivering a variety of end-to-end events for 100+ delegates.
  3. Excellent time management and organizational skills, managing multiple tasks with high standards.
  4. Attention to detail and proof-reading skills.
  5. Excellent written communication and presentation skills.
  6. Professional telephone manner with polite and persuasive communication skills.
  7. Collaborative and consultative approach.
  8. Positive, proactive attitude with initiative and a strong work ethic.
  9. Experience with Zoom or similar event platforms.
  10. Experience using CRM systems like Microsoft Dynamics and CMS platforms.
  11. Proficiency in Microsoft Office applications.
  12. Professional appearance and personal skills to represent BVCA to stakeholders.
  13. Willingness to work extra hours as needed.
