Job description

Ecommerce Assistant

Location: London

The Ecommerce Assistant is responsible for supporting the day‑to‑day operation of the ecommerce platform, ensuring products, content and digital assets are accurately maintained to deliver an excellent online customer experience.

The role provides operational support across website administration, product merchandising, content management, product photography coordination and email campaign execution. Working closely with the Head of Ecommerce and internal stakeholders, the Ecommerce Assistant will help ensure ecommerce activities are delivered accurately, efficiently and in line with the wider commercial and marketing calendar.

Main Responsibilities
Website Management
  • Support the day‑to‑day operation of the ecommerce website, helping to deliver a seamless online shopping experience.
  • Carry out daily website checks, identifying content, pricing, merchandising or functionality issues and assisting in their timely resolution.
  • Support the merchandising of products, collections and categories in line with agreed trading priorities, promotional activity and brand guidelines.
  • Monitor the presentation of products and collections across the website, identifying opportunities to improve navigation, product presentation and customer experience, making recommendations to the Head of Ecommerce where appropriate.
  • Liaise with internal departments and external suppliers to support the timely delivery of ecommerce projects and operational activities.
Website Management (Asset Management)
  • Maintain the ecommerce content management system (CMS), including homepage, landing pages and editorial content, ensuring all content is accurate and up to date.
  • Support the presentation of products and collections online by maintaining visually engaging product listings in line with approved merchandising plans and brand guidelines.
  • Organise and maintain digital asset libraries, archive folders and associated ecommerce administration.
  • Prepare and maintain ecommerce product assets for internal and external use.
  • Coordinate ecommerce photography shoots, liaising with internal and external teams to ensure assets are delivered to agreed deadlines.
  • Coordinate sample management for ecommerce photography, ensuring accurate tracking, handling and timely return to the relevant departments.
  • Coordinate retouching and post‑production activities with internal teams and external suppliers, ensuring outputs meet approved brand standards.
  • Maintain photography guidelines and support the timely delivery of product imagery in line with the commercial calendar and product launch schedules.
  • Prepare and upload approved imagery to ecommerce platforms using the correct specifications, dimensions and naming conventions.
  • Upload and maintain digital assets on the ecommerce platform, monitoring product listings to identify and resolve missing or incomplete content.
  • Provide accurate model and sample size information to support online product information and customer experience.
  • Identify opportunities to improve photography workflows, digital asset management and operational processes, making recommendations to the Head of Ecommerce where appropriate.
Email Marketing & CRM
  • Build and schedule email campaigns, including broadcast and automated communications, in line with the agreed marketing and ecommerce calendar.
  • Work collaboratively with internal stakeholders to prepare email content using approved copy, imagery and creative assets.
  • Carry out testing and quality assurance checks prior to the deployment of email campaigns.
  • Produce routine reports on email campaign performance for review by the Head of Ecommerce.
  • Liaise with internal teams and external suppliers to support the delivery of email marketing and CRM activity.
Customer Support
  • Work collaboratively with the Customer Service Assistant and internal teams to support the resolution of customer enquiries where website, product or order information is required.
  • Assist in maintaining accurate product information and website content to support an excellent customer experience.
  • Provide operational support during product launches, promotional campaigns and peak trading periods, ensuring brand standards are maintained.
General
  • Maintain accurate records and documentation relating to ecommerce activities.
  • Identify opportunities to improve operational efficiency and recommend improvements to the Head of Ecommerce.
  • Undertake any other reasonable duties consistent with the responsibilities of the role.
Skills and Experience
Essential
  • A collaborative and proactive approach to work, with the ability to build effective working relationships with internal colleagues and external suppliers.
  • Strong organisational and time management skills, with the ability to prioritise competing tasks and meet deadlines in a fast‑paced environment.
  • Excellent attention to detail and a methodical approach to maintaining accurate website content, product information and digital assets.
  • Previous experience in an ecommerce, digital administration, website administration or similar operational role.
  • Experience using Content Management Systems (CMS) and a good understanding of ecommerce website administration.
  • Good working knowledge of Microsoft Office applications, particularly Excel and PowerPoint.
  • Experience working with digital assets and image management processes.
  • Strong written and verbal communication skills.
  • Ability to work independently while recognising when to escape issues or seek guidance.
  • A willingness to learn and contribute to continuous improvement within the ecommerce function.
Desirable
  • Experience within a luxury, premium fashion or lifestyle retail environment.
  • Experience using Shopify or another ecommerce platform.
  • Experience using email marketing platforms such as Ometria or similar.
  • Basic knowledge of Adobe Creative Suite, particularly Photoshop.
  • An interest in ecommerce, digital retail and customer experience, with an awareness of current industry trends.
