Job summary

Position: Operations Coordinator (3-month Contract)

Requirements:

  1. Relevant educational background for the role.
  2. Proven experience in providing administrative support and maintaining office systems.
  3. Excellent communication and problem-solving skills.
  4. Intermediate to advanced proficiency in MS Word, PowerPoint, Excel, and Outlook.
  5. Ability to prioritize tasks, organize time efficiently, and be proactive.
  6. Desirable: SAP skills.
  7. Experience working in a large international organization.
Responsibilities:
  1. Support operational project planning and governance.
  2. Serve as the point of contact for global functions and project managers regarding project requests in the ECR, handling queries effectively.
  3. Manage the annual Statement of Requirements (SoRs), including tracking, registration, and reporting of progress. Follow up on outstanding start/end dates and WBS codes. Cascade final projects for review and approval. Handle new SoRs throughout the year.
  4. Produce accurate monthly performance dashboards with comprehensive narratives.
  5. Manage DORECO Document Management, including creating and maintaining project folders throughout the project lifecycle.
  6. Oversee the team's annual AIMP Review.
  7. Conduct weekly reviews of the GPC Schedule versus received SoRs, reporting deviations and changes.
  8. Organize and facilitate quarterly project workshops to promote continuous improvement and standardization.
  9. Manage project invites into the region, including certification and competency reviews.
  10. Register and review SOMS as needed.
  11. Update the Project Safety Pack for onboarding purposes within the region.
