Executive Assistant, Global Director of Fundraising

As the Executive Assistant, the successful candidate will provide executive-level administrative and organizational support to the Global Director of Fundraising. This includes managing the director’s diary, communications, travel and accommodation bookings, and organizing meetings, to ensure effective workload management and contribute to the organization’s success.

WHAT YOU WILL BE DOING

ESSENTIAL JOB FUNCTIONS:

Responsibilities include, but are not limited to:

  • Coordinate the Global Director of Fundraising’s workload, activities, and diary, managing priorities and avoiding clashes.
  • Organize all travel, including accommodation and logistical arrangements within budget.
  • Provide support for meetings, including preparing Board Packs and taking minutes.
  • Support other Department Directors and Senior Management Team, prioritizing the Global Director of Fundraising.
  • Support the Global Director’s complex workload through detailed diary management and strategic planning.
  • Manage correspondence and enquiries, ensuring timely responses and dissemination of information.
  • Handle expenses and financial guidelines.
  • Manage conflicts and issues with integrity and timely reporting.
  • Take minutes of meetings and maintain records.
  • Perform other duties as assigned.

WHAT YOU WILL NEED

EDUCATION/EXPERTISE:

  • High School Diploma or equivalent.

JOB REQUIREMENTS/SKILLS/ETC:

  • Minimum five years of experience.
  • Excellent communication skills.
  • Interpersonal skills with tact and professionalism.
  • Organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite.

PHYSICAL REQUIREMENTS:

  • Good visual acuity and hand-eye coordination.
  • Ability to stand, walk, and occasionally lift up to 12 pounds.
