The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

An exciting opportunity has arisen to apply for the post of Office Manager within the Sexual Offences Investigation Team (SOIT) based at Surrey Police Headquarters.

This role presents the chance to provide administrative support services to SOIT to promote the effectiveness and efficiency of the team.

SOIT is a specialist investigation department aligned to the Central Public Protection Command and is responsible for the investigation of serious sexual offences against adult victims across the county of Surrey.

You will provide support across the three investigation teams, reporting to a Detective Inspector.

Key Responsibilities
  • To act as a point of contact for the team both internally and for partner agencies - responding to enquiries on behalf of the team or routing them to the appropriate person / department ensuring professional relationships are maintained and developed.
  • To collate data on the work of the team to enable performance monitoring in line with organisational priorities.
  • To undertake administrative work in relation to the roles carried out by the team ensuring that force policies, procedures and guidelines are adhered to.
  • Undertake word processing, postal requirements and associated administrative tasks as required.
  • To oversee and co-ordinate management of the vehicle fleet utilised by the team.
  • To support supervisors with organising, arranging and booking of training.
  • Ensure the adequate supply of stationery along with other office materials and equipment. Along with maintaining supply for partner agencies for which Surrey Police are responsible.
  • Coordinate the arrangements for any meetings that are appropriate and ensure that the necessary administrative support is provided.
  • Liaise and communicate with appropriate internal departments and external agencies to collate information and ensure an effective service response to meet operational demands.
  • To support new starters to the department including IT and office supplies / equipment.
  • To complete any other tasks commensurate with the role as tasked by the Detective Inspector or duty Detective Sergeant.
Skills & Experience
  • Previous experience in an administrative and/or customer service role.
  • The ability to respond to routine correspondence without direct instruction, but able to exercise judgement regarding escalation.
  • The ability to evidence a high standard of IT literacy and a proven ability to operate and interrogate computer systems proficiently.
  • The ability to produce clear, concise and accurate written letters and reports covering a range of information.
  • Good interpersonal and communication skills to deal confidently, courteously and efficiently with enquiries both internally and externally.
  • The ability to work as a team member with the competing demands and pressures that arise.
  • To be able to work unsupervised in the absence of a line manager maintaining and prioritising own work, taking the initiative to resolve problems where they arise.
  • The ability to be flexible and to be able to apply new procedures and working practices to assist with organisational and procedural changes.
  • The ability to maintain a high level of integrity and be aware of the need for confidentiality and security of all operational material that will come into their possession some of which may be of a sensitive nature.
