Job summary

WATES is seeking a highly organised Contract Support Administrator to join the Facilities Management team based at the Wellcome Genome Campus in Cambridgeshire. The role focuses on administering the FM contract and supporting delivery of high-quality hard FM services across a world-renowned scientific campus.

Qualifications

• Experience in a Contract Support, FM Administrator or similar Facilities Management administration role.
• Experience in Facilities Management, Building Services or Maintenance environment.
• Strong administrative and organisational skills.
• Experience using CAFM systems and Microsoft Office applications.
• Excellent communication and customer service skills.
• Ability to manage multiple priorities whilst maintaining attention to detail.
• Confident with financial and reporting processes.

Responsibilities

• Provide comprehensive administrative support to the Facilities Management contract team.
• Raise, monitor and close work orders to enable financial processing.
• Raise Purchase Orders and process supplier invoices.
• Raise Invoices to the client for completed works.
• Follow up on outstanding client invoices.
• Support with WIP management to prevent aged WIP on the contract.
• Carry out financial housekeeping to keep systems up to date.
• Support financial processes including budget tracking and cost control administration.
• Support monthly reporting, data analysis and KPI tracking.
• Liaise with clients, suppliers and internal stakeholders to ensure efficient service delivery.
• Ensure all documentation is maintained in line with requirements.
