Job summary

KMC Recruitment is seeking a Depot Administrator to join the Reading depot and support day-to-day administration, acting as the first point of contact for customers, suppliers and visitors.

You'll manage telephone queries, process collection and delivery notes, assist with stock movements and help maintain Health & Safety procedures on site while supporting the Depot Manager and team in a fast-paced environment.

Qualifications

  • Minimum administration experience in a busy environment.
  • Plant hire/Construction or similar operational background is advantageous.
  • NVQ in Business Administration is desirable but not essential.

Responsibilities

  • Answer incoming telephone enquiries professionally.
  • Be first point of contact for depot visitors.
  • Provide general admin support to Depot Manager and team.
  • Generate and process collection and delivery notes.
  • Log damage to equipment and apply customer charges.
  • Provide information on stock availability and movements.
  • Generate/complete stock transfers in/out of the depot.
  • Support van MOTs/servicing via third parties.
  • Ensure Health & Safety procedures on site are followed.
  • Assist other depots with admin as required.
  • Help improve existing systems for depot efficiency.

Job description

We’re recruiting for a Depot Administrator to join a well-established business within the plant and hire sector at their Reading depot.

This is very much a role at the heart of the depot. You’ll support the team with the day‑to‑day administration that keeps everything moving, while also being the first point of contact for customers, suppliers and visitors coming into the site.

It’s a busy, varied position, so we’re looking for someone who is organised, comfortable juggling different priorities and happy working in a fast‑paced depot environment rather than somewhere painfully quiet where the most dramatic event of the day is the printer running out of paper.

What you’ll be doing
  • Answering incoming telephone enquiries and dealing with queries professionally
  • Acting as the first point of contact for visitors to the depot
  • Providing general administrative support to the Depot Manager and wider team
  • Generating and processing collection and delivery notes
  • Logging damage to returned equipment and processing the relevant customer charges
  • Providing information on stock availability and stock movements
  • Generating and completing stock transfers in and out of the depot
  • Supporting with the booking of van MOTs, servicing and repairs through third‑party providers
  • Ensuring visitors follow the appropriate Health & Safety procedures while on site
  • Supporting other depots with administration when required
  • Helping to improve existing systems and processes to keep the depot running efficiently
What we’re looking for

Previous administration experience is essential, ideally gained within a busy, fast‑paced environment.

Experience within plant hire, construction, manufacturing or a similar operational business would be particularly useful, as you’ll already understand the pace and the slightly controlled chaos that comes with keeping a busy depot moving.

You’ll also need:

  • Previous experience in a customer‑facing role
  • Good Microsoft Office skills
  • Strong communication and interpersonal skills
  • The ability to work to deadlines and manage competing priorities
  • A good team‑working approach
  • A professional and organised manner
  • Eligibility to work in the UK

An NVQ in Business Administration and an awareness of Health & Safety would be advantageous, but aren’t essential.

The package
  • Salary up to £29,215 depending on experience.
  • Hours are 07:45–16:30, Monday to Friday.

This would suit someone who enjoys being involved in the day‑to‑day operation rather than simply sitting behind a screen processing paperwork. You’ll be working closely with the depot team, customers and visitors and will play an important part in keeping the site organised and running smoothly
