Job summary

Mace is seeking an Onboarding Coordinator to join our Defence team in Cumbria, supporting a high profile, regulated programme. The role focuses on coordinating onboarding, security clearance and pre-employment checks while ensuring records and trackers are accurate and up to date.

You will work with project teams and external stakeholders in a hybrid, security-conscious environment, manage multiple workstreams and help improve onboarding processes for timely mobilisation of personnel.

Qualifications

• Experience in onboarding, mobilisation, workforce coordination, project support or programme administration is required.
• Strong organisational skills to manage multiple workstreams and priorities simultaneously.
• Experience maintaining accurate records in compliance-driven environments.
• Excellent communication and stakeholder management abilities.
• Proficient in Microsoft Office (Excel, Outlook, Teams, SharePoint).
• Ability to handle confidential information with discretion.
• Eligibility to obtain and maintain UK Security Clearance (SC).

Responsibilities

• Coordinating onboarding for personnel joining the programme and ensuring pre-start activities are completed on time.
• Managing onboarding schedules and coordinating with project, functional and external stakeholders.
• Monitoring onboarding progress and highlighting risks affecting start dates.
• Coordinating security clearance and other pre-employment requirements.
• Ensuring onboarding documentation is completed and recorded per programme requirements.
• Acting as a point of contact for new joiners throughout onboarding.
• Maintaining onboarding records, trackers and reports.
• Coordinating induction activities and ensuring access, equipment and information for start.
• Supporting mobilisation activities and workforce planning.
• Identifying opportunities to improve onboarding processes.
