Job summary

Mace is seeking an Onboarding Coordinator to join the Defence team in Preston. The role supports a high-profile Defence programme, with hybrid working and a requirement for UK Security Clearance (SC). Early 2027 start.

You will coordinate onboarding, manage schedules, liaise with project teams and external stakeholders, and ensure compliant record-keeping across all pre-employment activities.

Qualifications

• Experience coordinating onboarding or mobilisation in complex programmes.
• Ability to manage multiple workstreams and competing priorities.
• Proven track record maintaining accurate records in compliance-driven environments.
• Excellent communication and stakeholder management skills.
• Strong MS Office skills including Excel, Outlook, Teams and SharePoint.

Responsibilities

• Coordinate onboarding processes for personnel joining the programme.
• Manage onboarding schedules and liaise with project and functional teams.
• Monitor onboarding progress and flag risks or delays to start dates.
• Coordinate security clearance and pre-employment requirements with relevant teams.
• Ensure onboarding documents are completed, validated and recorded.
• Be the main point of contact for new joiners throughout onboarding.
• Maintain onboarding records, trackers and reports.
• Coordinate induction activities and ensure access and equipment.
• Support mobilisation activities and workforce planning.
• Identify opportunities to improve onboarding processes.
