Job summary

Wates Property Services (WPS) is seeking a diligent Scheduler for our Damp & Mould Team in Birmingham. You will coordinate damp and mould surveys, inspections, and remedial works, ensuring timely delivery and accurate communication with residents and operatives.

The role emphasises strong diary management, organisation, and an empathetic customer-service approach to support vulnerable residents and improve homes.

Qualifications

  • Experience in scheduling, planning, coordination, customer service, or administration.
  • Excellent diary management and organisational skills.
  • Strong customer service and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience using Microsoft Office, including Excel, Outlook, and Word.
  • Full UK Driving Licence.

Responsibilities

  • Manage operative and surveyor diaries to schedule damp & mould inspections and remedial works.
  • Coordinate appointments for residents, ensuring all parties are informed and works meet timescales.
  • Act as a key point of contact for residents, operatives, supervisors, and clients.
  • Respond to changing priorities, emergencies, and vulnerable resident requirements.
  • Monitor work in progress (WIP) and support performance against KPIs.
  • Produce productivity reports and management information for operational teams.
  • Collaborate with Supervisors, Surveyors, Resident Liaison Officers and Contractors to maximise productivity and customer satisfaction.
  • Support the smooth delivery from initial inspection through to completion.
  • Communicate with customers via telephone, email, and digital systems.
  • Identify scheduling challenges and support continuous service improvement.

Due to continued growth in our Damp & Mould programme, we're looking for an organised, customer-focused Scheduler to join our team in Birmingham.

This is more than just scheduling appointments. You'll play a vital role in helping vulnerable residents receive the support they need by ensuring inspections, remediation works, and follow-on repairs are planned efficiently and delivered on time.

You’ll be at the heart of operations, coordinating damp and mould surveys, repairs, specialist treatments, and maintenance activities, helping us improve homes and create healthier living environments for our residents.

What You'll Be Doing
  • Managing operative and surveyor diaries to ensure damp & mould inspections and remedial works are scheduled efficiently.
  • Coordinating appointments for residents, ensuring all parties are informed and works are completed within agreed timescales.
  • Acting as a key point of contact for residents, operatives, supervisors, and clients.
  • Responding quickly to changing priorities, emergency cases, and vulnerable resident requirements.
  • Monitoring work in progress (WIP) and helping to drive performance against service targets and KPIs.
  • Producing productivity reports, performance data, and management information to support operational teams.
  • Working closely with Supervisors, Surveyors, Resident Liaison Officers, and Contractors to maximise productivity and customer satisfaction.
  • Supporting the smooth delivery of damp & mould programmes from initial inspection through to completion.
  • Communicating with customers via telephone, email, and digital systems to keep them informed throughout the process.
  • Identifying scheduling challenges, recommending improvements, and supporting continuous service enhancement.
  • Ensuring all planned works are scheduled in line with company Health & Safety procedures and compliance requirements.
What We're Looking For
Essential
  • Experience in a scheduling, planning, coordination, customer service, or administration role
  • Excellent diary management and organisational skills
  • Strong customer service and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience using Microsoft Office, including Excel, Outlook, and Word
  • Strong attention to detail and data accuracy
  • Ability to build positive relationships with customers, operatives, and stakeholders
  • Confident working with performance targets and service KPIs
  • Full UK Driving Licence
Desirable
  • Experience within social housing, property maintenance, repairs, or construction
  • Understanding of damp & mould processes and housing maintenance works
  • Experience scheduling multi-trade operatives or contractors
  • Knowledge of planned maintenance or responsive repairs environments
  • Experience producing performance reports and management information
  • Understanding of health & safety requirements within property services
