Customer Service Administrator - Part-Time
Reports to: Production Manager
Based at: Langage Science Park, Plymouth
Job purpose: To process and manage sales orders received from VacSax customers and provide excellent customer service.
Key responsibilities and accountabilities:
- Receive, respond to, and follow up on telephone sales inquiries.
- Provide help and advice to customers, investigate, and help solve customer problems.
- Input sales orders received onto Sage.
- Check stock levels and liaise with production, warehousing, and other departments as necessary to meet customer requirements.
- Prepare manifests and appropriate paperwork for daily dispatch.
- Arrange and book transport for shipments to Regional Distribution Centres.
- Raise customer invoices and credit notes, and process them accordingly.
- Manage, organize, and update relevant data using database applications.
- Communicate and provide information by relevant methods internally and externally to assist organizational operations and effective service delivery.
- Interpret instructions and issues, then implement actions according to administrative policies and procedures.
- Monitor and report on activities, providing relevant management information.
- Liaise and attend meetings with other company functions to perform duties and support business development.
- Adhere to policies and procedures related to health and safety, and quality management.
- Properly use and care for equipment and materials for which the role is responsible.
- Attend training sessions to develop relevant knowledge and skills.
- Provide holiday and absence cover within the administration office.
- Perform any other reasonable tasks as requested by immediate management.
