Job summary

Ventro Group, via its HJS division, is seeking a highly organised Contracts Administrator to join the team in Market Harborough. The role sits at the heart of operations, coordinating engineers, clients, suppliers and internal teams to ensure contracts are delivered efficiently and SLAs met.

You’ll manage a busy workload across residential, commercial, and public sector projects with emphasis on safety, compliance and service excellence.

Qualifications

• Experience in contracts administration or service coordination.
• Ability to manage multiple priorities in a fast-paced environment.
• Confident communication with clients, tenants, engineers and suppliers.
• High attention to detail in records, portals and invoicing processes.
• Proactive, problem-solving mindset.
• Experience with housing associations or building services/FM is desirable.
• Familiarity with access systems is desirable but training is provided.

Responsibilities

• Manage contracts for maintenance and repair of access systems and meet SLAs.
• Schedule and log jobs, track progress to completion and follow up.
• Coordinate engineer visits with tenants, housing officers and clients.
• Raise quotes and liaise with estimating team as required.
• Order materials and liaise with suppliers for timely completion.
• Maintain client portals and provide timely job updates.
• Raise and process invoices within required timeframes.
• Liaise with engineers to ensure works meet client specs and quality.
• Prioritise urgent issues such as security risks and outages.
• Investigate recurring faults and escalate where necessary.
• Maintain documentation for audits, inspections and reporting.
• Build strong relationships with housing associations, local authorities, and commercial clients.
