Contract Support Administrator

We are seeking a Contract Support Administrator to support the admin team responsible for managing contractual relationships with clients. Your role will involve coordinating activities, generating information from internal and external sources, validating system data, and responding to various requests to ensure smooth service delivery across the portfolio.

How will you be the change?

Every role is vital in delivering peace of mind to our customers. As a Contract Support Administrator, you will:

  • Support the Office Systems Manager by validating system data.
  • Assist the Contract Manager in fulfilling contractual obligations.
  • Develop strong relationships with stakeholders and respond promptly to support requests.
  • Support the mobilization of new suppliers by coordinating activities among stakeholders.
  • Act as the first point of escalation for clients and suppliers as needed.
  • Coordinate and resolve issues through job and quotation chasing.
  • Manage client complaints regarding service delivery, ensuring timely escalation and resolution.
  • Monitor overall Contract performance and maintain communication with key stakeholders.
  • Coordinate data and information provision across departments for effective contract monitoring.
  • Collaborate with the Reporting Team to standardize reporting formats and ensure timely report generation.
  • Gather data for reporting and respond to ad hoc reporting requests.
  • Ensure effective daily delivery of services by liaising with suppliers and escalating issues.
  • Coordinate compliance and PPM activities, aiming to meet or exceed KPIs.
  • Drive timely closure of all work orders and ensure KPI targets are met.
  • Promote a safety culture by escalating and addressing health and safety issues.
  • Embrace learning and development opportunities and promote Bellrock's culture.
What does it take?

To succeed in this role, you should have:

  • Intermediate IT skills, especially in Excel.
  • Facilities Management qualification or working towards one.
  • Experience in a client-facing role within a fast-paced environment.
  • Experience working with suppliers and managing multiple priorities.
  • Skills in data management, analysis, and reporting.
  • Understanding of processes, procedures, and contractual awareness in Facilities Management.
  • Basic technical knowledge and awareness of procurement, health, safety, and sustainability.

Working arrangements

We support flexible working practices. The successful candidate will work from the Royal Borough of Kensington & Chelsea, Monday to Friday, 8:30 am to 5:00 pm, with a one-hour lunch break.
