We are a fast-paced and growing commercial general contracting firm specializing in tenant improvements and high-quality private sector builds. Our team values accuracy, efficiency, and doing things right the first time. We are currently seeking an Accounts Payable & Office Assistant who is meticulous, organized, and detail-oriented, with a proactive approach to deadlines and details.

About the Role:

This position is vital to the financial health and daily operations of our company. You will manage accounts payable, maintain financial records, support project reporting, and perform clerical duties. The ideal candidate is highly detail-oriented, reliable, and thrives in a structured environment with multiple responsibilities.

Key Responsibilities:

  • Accurately enter vendor bills into QuickBooks Desktop
  • Scan, rename, and organize invoices into Dropbox by project
  • Update Smartsheet job costing and accounting spreadsheets
  • Maintain general ledger entries and track expenses
  • Prepare and maintain AP ledgers and weekly reports
  • Input credit card transactions accurately and categorize them
  • Assist with weekly project update files and reports
  • Collaborate with project managers, superintendents, and vendors to resolve billing issues
  • Manage and update files for insurance, vehicles, and compliance
  • Provide administrative support around the office as needed

What We're Looking For:

  • Minimum 2 years of experience in construction accounting or a related industry
  • Proven accuracy in handling financial data and job costing
  • Advanced knowledge of QuickBooks Desktop and Microsoft Excel
  • Familiarity with Dropbox, Smartsheet, Outlook, and Word
  • Ability to stay organized while managing multiple deadlines and projects
  • Strong written and verbal communication skills
  • High integrity and accountability
  • Self-motivated, dependable, and detail-oriented

Bonus Points For:

  • Experience working with a commercial general contractor
  • Previous use of Smartsheet for cost tracking or reporting
  • Familiarity with project-based accounting workflows
