We are currently looking for a College Services Officer to join our busy team in Portsmouth (Portsmouth, England), creating a true home away from home for students and turning everyday tasks into meaningful moments of care.

Hours of Work: Full Time, 37.5 hours per week, fixed term for 10 months

As a College Services Officer, you’ll be at the heart of the student experience, handling key administrative processes (from student documents and attendance monitoring to reporting and record-keeping), supporting student wellbeing and pastoral care, and ensuring health and safety and safeguarding standards are consistently met. You’ll collaborate across admissions, finance, ICT, marketing and academic teams; keep student services running efficiently across inboxes and virtual learning platforms; manage student records with attention to detail (including international visa compliance duties); and contribute to a vibrant programme of events—from awards evenings and sports days to orientation, employability weeks, and other exciting activities.

College Services Officer Duties:
  • Support student success through proactive, front-line pastoral and welfare engagement, including safeguarding for Under-18 students.
  • Draft, issue and maintain accurate student documentation, ensuring smooth administration and excellent customer service.
  • Monitor attendance and respond to student concerns, logging issues appropriately and helping guide students towards positive outcomes.
  • Maintain student records accurately and in real time, supporting compliance and student visa sponsorship processes.
  • Help deliver major student events and registration periods, including late-arriving student support and a welcoming front-office experience.
  • Respond to student queries quickly and keep virtual learning platforms accurate, accessible and up to date.
  • Support exam preparation and academic administration, including timetable updates, exam-room readiness, and student communications.
  • Champion workplace safety by supporting risk assessments, accident reporting and first aid readiness, working closely with the Designated Safeguarding Officer.
  • Assist with tuition fee-related support and debt recovery, including evaluating extension requests and setting up manageable payment plans.
  • Act as a reliable link between students and partners, providing status updates and data requests as required.
College Services Officer Requirements:
  • Educated to university level or able to show equivalent sector-specific training/experience.
  • Experience working in a busy customer service environment or an educational front-of-house role.
  • A strong track record of thriving in a vibrant, multi-cultural and/or international setting.
  • Ability to support high-energy student events and welcome programmes (orientation and student experience are key).
  • Ideally, occupational safety and health (OSH) awareness and a valid First Aid qualification.
  • Fixed Term, full-time role with standard working hours Monday to Friday.
  • £26,400 per annum
  • Time Off in Lieu (TOIL) for any extra hours worked to support out-of-hours events and activities.
