Job summary

NHS Property Services Ltd is seeking a Colleague Support Admin Assistant for our Digital and Data team on a 12-month fixed-term contract covering maternity leave. The role is hybrid, with monthly attendance at our London office and a starting salary of £30,000 per annum.

You will manage IT equipment lifecycles, asset records, and onboarding processes, coordinating with internal teams, suppliers, and third-party providers to ensure colleagues have the tools they need to work effectively.

Qualifications

Responsibilities

  • Act as a key point of contact for admin and logistics requests within Colleague Digital Support.
  • Manage hardware requests and coordinate collections and deliveries with suppliers.
  • Process returned IT assets and maintain asset tracking records.
  • Maintain the asset management database and configuration records.
  • Support operation of Tech Bars and distribution/returns of equipment.
  • Raise purchase orders for IT equipment, deliveries and software licences.
  • Assist with software licence administration, including Microsoft licensing.
  • Coordinate with suppliers and internal stakeholders to ensure service delivery.
  • Create and maintain SOPs and process documentation.
  • Support continuous improvement in asset and licence management.
  • Ensure service desk tickets are managed effectively with SLAs and KPIs.

We are now looking for a Colleague Support Admin Assistant to join our Digital and Data team on a fixed-term contract covering maternity leave. About the Role

As a Colleague Support Admin Assistant, you will play a key role in supporting our Colleague Digital Support team by managing the administrative and logistical processes associated with IT equipment, asset management and colleague onboarding. Working closely with internal teams, suppliers and third-party providers, you’ll ensure that laptops, mobile devices, peripherals and software licences are managed efficiently throughout their lifecycle. This role sits alongside our IT Service Desk function and focuses on the administration, coordination and asset management activities that keep our digital services running smoothly. You’ll maintain accurate records, support ongoing improvement initiatives, coordinate equipment deliveries and collections, and help ensure colleagues have access to the tools they need to be successful

Who You Are

You’re an organised and proactive administrator with excellent attention to detail and a passion for delivering great service. You enjoy managing multiple priorities, maintaining accurate records and building positive relationships with colleagues and suppliers. You’ll be comfortable working with digital systems, managing competing demands and adapting to changing priorities. Most importantly, you’ll bring a positive attitude, strong organisational skills and a willingness to learn.

Key Responsibilities

  • Manage hardware requests, arranging equipment collections and deliveries with suppliers and third-party providers.
  • Process returned IT assets including laptops, phones and tablets, ensuring accurate asset tracking and record management.
  • Maintain and update the asset management database and configuration management records.
  • Support the operation of Tech Bars and provide administrative support for equipment distribution and returns.
  • Raise purchase orders for IT equipment, peripherals, deliveries and software licences.
  • Assist with software licence administration, including Microsoft licensing and other business applications.
  • Coordinate with suppliers, local service providers and internal stakeholders to ensure excellent service delivery.
  • Create and maintain standard operating procedures and process documentation.
  • Support continuous improvement initiatives relating to asset and licence management.
  • Ensure service desk tickets are managed effectively and associated SLAs and KPIs are achieved.
Where you’ll be

This is a 12-month fixed-term contract, offering a hybrid working arrangement with an expectation to attend our London office approximately one day per week. The salary for this position starts from £30,000 per annum.
