About Us

Zutec & DFM Systems are a fast-growing technology company, providing cloud-based software for the construction property industry. Both offer best of breed solutions for Document Management, Quality Management, Handover Management and Asset Management. Today we have digitised over 35 million building documents, 1.5m+ building units, powering £250bn in building assets across the UK and Ireland. Our user-friendly and secure cloud-based software and mobile solutions save asset owners, contractors, housebuilders and developers time and money while meeting compliance throughout the building lifecycle.
We are a global company with offices in London & Dublin. It is an exciting time to join the group as we are progressively growing our team, providing opportunities for further career development and advancement for high achievers.

Purpose of the Role:

The C-Chief operating officer is a C-suite leadership role responsible for driving operational excellence and delivering a cohesive, high-quality customer experience across all group companies. This role ensures the successful delivery of customer onboarding, support, platform usage, renewals enablement, and continuous improvement in operational processes.

Working in partnership with a peer holding the same title, the Co-Chiefs will jointly lead all operational functions across the group, including integration of newly acquired operational teams as appropriate. They will agree them how oversight is allocated – by geography, product line, functional area, or other practical division – with the aim of ensuring aligned leadership, clear accountability, and consistent outcomes.

Key Responsibilities:
  • Joint Leadership: Co-lead operations across all group entities, agreeing a division of responsibility to ensure clarity, accountability, and balance.
  • Operational Strategy: Define and execute a shared group-wide operations strategy in line with company objectives, including the Operational Experience strategy for our customers from first touch points with Sales to becoming expert end users.
  • Process Optimisation: Identify, implement, and monitor operational and tooling improvements to enhance speed, efficiency, quality, and scalability.
  • Digital Experience: Partner with Product and Tech to enhance in-platform usability, onboarding flows, and support features.
  • Team Development: Lead, mentor, and develop high-performing operational and operational teams across group companies.
  • Cross-Functional Collaboration: Partner with Sales, Product, and Finance to ensure smooth pre-sales support, implementation planning, and post-sales delivery.
  • Operational Integration: As acquisitions are made, there may be Operational teams that need to be integrated into the existing structure – this must be done smoothly with no customer or unwanted employee churn.
  • Metrics and Reporting: Define operational and satisfaction KPIs in collaboration with the Senior Management Team (SMT), ensuring they demonstrably support and drive the company’s North Star Metrics. Build dashboards and reporting processes to monitor progress, guide decision-making, and support accountability.
  • Commercial Awareness: Support revenue growth through operational planning, customer engagement strategies, capacity management, and risk mitigation.
  • Governance: Ensure alignment with group-level compliance, risk, and data handling standards.
  • People Leadership: Foster a strong team culture across group operations functions, focusing on professional development, internal progression, and minimizing undesired voluntary churn.
Key Competencies:
  • Strong leadership skills with experience managing high-performing, customer-facing operations teams
  • Proven ability to operate in complex, multi-entity environments
  • Skilled in operational planning, process design, and team management
  • Deep understanding of operational customer journey design to ensure customer satisfaction
  • Empathetic leadership with a customer-first mindset
  • Excellent stakeholder management and communication skills
  • Experienced at merging disparate Operational models and teams for greater efficiency and shared culture
  • Comfortable working collaboratively in a co-leadership model
  • Able to lead the function while staying across the details to know when to jump in and when to step back
  • Evidence-driven, with a deep understanding of how operational KPIs link to business outcomes
  • Highly numerically literate, able to convert goals and activities into quantitative impact on company metrics
