We have an exciting opportunity for a Clinical Operations Assistant who will work within the Bio-Sample and Logistics team to support with administrative and operational tasks across various Bio-Sample workstreams. The team is responsible for the overall set up and management of all operational aspects of the Our Future Health cohort which includes recruitment of 5 million participants and the collection of their data and biological samples in line with the overall programme budget and timelines.

Our Future Health will be the UK's largest ever health research programme, bringing people together to develop new ways to detect, prevent, and treat diseases. We are a charity, supported by the UK Government, in partnership with charities and industry. We work closely with the NHS and with public authorities across all nations and regions of the UK.
What you'll be doing:
You will have a range of responsibilities which will be key to the continuing development, implementation, and improvement of our operational activities. Your key responsibilities will include but not be limited to:
- Work closely with colleagues across recruitment, logistics and biosample workstreams
- Perform routine daily/weekly administrative operations tasks.
- Place orders for clinic consumables and track deliveries
- Prepare data reports and presentation materials
- Manage your own workload efficiently, prioritising tasks and allocating time effectively to meet tight deadlines and achieve targets
- Monitor shared email inboxes and proactively identify issues for escalation
- Write and format operational documents
- Show initiative by taking ownership of assigned tasks and seeking opportunities to contribute proactively to the team's goals and objectives
- Assist with logistical and biosample package and sample reconciliation tasks
- Action queries from participants and clinic partners raised via FreshService
- Monitor and action participant withdrawals that require sample disposals
- Monitor and action incidents (e.g., mislabelled samples)
- Assist on new operational projects where required
- Organise meetings and record minutes
- Provide operational support and cover for annual leave & sickness
- Assist with the creation of Standard Operating Procedures (SOP) and policies
Requirements
The successful candidate will be able to clearly demonstrate the ability to work in a dynamic and growing environment. To succeed in this role, you will also have some of the following skills:
- Demonstrative experience in an administrative or operational role
- Working knowledge of the UK clinical research environment.
- A quick learner and can adapt to new systems, and processes with ease
- Well-developed proficiency in desktop applications including MS Office Suite (Word, Outlook, Excel, PowerPoint)
- Strong interpersonal and team working skills, with the ability to effectively interact with people at all levels
- Proven ability to multi-task with excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Proactive approach to work and ability to work independently
- Interested in progressing in an Operations career
- Available to attend laboratory and clinic site visits as required
- Understanding of population research and cohort studies is advantageous.
- Knowledge of relevant regulatory processes such as Good Clinic Practice (GCP) is advantageous.
