Job description

The Recovery Centre (TRC) is a respected mental health clinic offering compassionate, evidence-based care to individuals and families. We provide a collaborative and supportive environment for professionals who are passionate about mental health and personal growth.

Role Overview:

As a Clinical Administrator, you will provide essential administrative and operational support to both clinicians and clients. You will be the first point of contact for many clients, helping to facilitate a welcoming, professional, and supportive environment.

Key Responsibilities

Administrative Support:

  • Schedule appointments for clients and clinicians efficiently and accurately
  • Prepare and process client invoices
  • Maintain and update client records, including recording vital signs (blood pressure, heart rate, weight, and height)
  • Format psychiatric reports and other clinical documentation
  • Coordinate with GP services and external healthcare professionals
  • Liaise with schools and other third parties to support integrated client care

Client Communications:

  • Handle sensitive information with discretion and professionalism
  • Respond to new enquiry calls and provide relevant information to potential clients
  • Action client requests, concerns, and feedback in a timely manner
  • Support supervised client lunches as needed

Clinic Operations:

  • Assist with the daily running of the clinic, including general housekeeping and ensuring a welcoming environment
  • Monitor office supplies and liaise with vendors where appropriate

Compliance and Training:

  • Ensure adherence to all clinic policies and healthcare regulations
  • Complete all mandatory training relevant to the role

Key Requirements

  • Proficiency in Office 365, particularly Microsoft Word and Excel
  • Strong general IT literacy and ability to quickly adapt to new systems
  • Fast learner with excellent problem-solving capabilities
  • Ability to work independently and manage multiple tasks in a dynamic, fast-paced environment
  • Excellent verbal and written communication skills, with a professional and empathetic manner
  • Strong interpersonal skills and the ability to build rapport with clients, clinicians, and external partners
  • Familiarity with Xero or similar accounting and invoicing platforms
