Role summary
The CEO Office and Governance Assistant is a key role in creating a high-performance corporate team in CF, one which supports company to operate at its best and acts in support of the achieving business goals. The CEO Office and Governance Assistant forms part the CEO’s team, and reports to the Head of the CEO Office. The role has five core functions: responsibility for corporate calendar; orchestration of the company governance; company events management; and, ownership of the recognition and milestone celebration programme.
This role manages the full corporate calendar of meetings and events for the year, from the planning through to execution, ensuring that the flow of corporate meetings is well balanced and takes due regard of business plan assumptions and corporate requirements. This requires significant proactivity and communication with a rolling agenda for the next twelve months covering for example, shareholder committees, Board meetings, executive committees, steering groups, company retreats, the winter party and other organised social activities. The CEO Office and Governance Assistant will manage the sequence of corporate commitments to ensure the flow and preparation of meetings and events is expertly delivered, professionally managed, attended by a quorate number of people and is a great experience for those involved.
The CEO Office and Governance Assistant will support the management of the company’s governance and action planning. As well as the organisation of the meetings, their facilities (in-person and/or virtually) and planning refreshments, the role is responsible for supporting the Head of the CEO Office to commission papers, organise and capture action notes for all governance meetings. This includes ensuring standardised approaches, maintenance of an overall company log, tracking progress against actions and providing reports to relevant meetings. The role is expected to set the standards, organise the team’s responsibilities and ensure Microsoft AI products are leveraged to maximise efficient working practices. Six corporate meetings require minute taking, ensuring this task is completed to a high standard and captured with rigorous knowledge management practices is essential.
The management of all company events falls within the remit of the role. Beyond scheduling them, this involves participating in the creative development process involved in planning rewarding and impactful events for staff. As well as the meticulous planning and contract management to ensure a seamless and fun experience for staff including this involves organising travel, sourcing venues (restaurants, hotels, event spaces), booking caterers and determining menus, sourcing team development activities and speakers. Finally, event management on the day of the event is owned by the CEO Office and Governance Assistant. For larger scale events, the management and orchestration of the wider assistant team to support event management and ensure success is essential. The management of the events and staff entertainment budget management is part of the remit of the role and delivering optimal value for the company for the return on investment is crucial.
The CEO Office and Governance Assistant owns the delivery of the recognition policy on behalf of the CEO, supporting her to mark major milestones in the lives of team members. The role plans the celebration of milestones including day one at work for CF, work anniversaries, birthdays, recognition rewards, holiday gifts, gifts for major life milestones. The CEO Office and Governance Assistant works with the CF to ensure milestones are announced and celebrated across the company and that the CEO marks them personally (where appropriate) with a handwritten card. Forward planning including with the use of the CEO’s time, so that the moment is never missed is essential to the successful execution for the role. As is a desire to learn what colleagues value so that cards and gifts are tailored to them.
The CEO Office and Governance Assistant brings excellent organisational skills, forward-planning capabilities, team leadership skills and relationship-building capabilities. Having a straightforward and straight-talking approach when engaging with the senior leadership team is necessary. When working with colleagues in CF, clients, suppliers and people seeking to engage CF, kindness, diplomacy and professionalism are essential qualities.

We have a hybrid-working policy, the CEO Office and Governance Assistant will need to work from the CF offices for a minimum of four days a week.
In addition, for up to four weeks a year each member of staff can work entirely virtually. This should be agreed with the Head of the CEO Office and the CPO.
