Job summary

Kathy Rose Consultancy in the West Midlands is seeking a Complex Care Coordinator to join the head office with regional field visits. This full-time, permanent role combines rota management with hands-on supervision to maintain high clinical standards.

You will liaise with care teams, clients, and internal stakeholders, coordinating onboarding and ensuring regulatory compliance while adapting to variable hours to cover critical care gaps. A driving licence and vehicle are essential.

Qualifications

• 1 year of experience in care coordination, field supervision, or team leadership within a complex care environment
• Solid understanding of CQC regulations and safeguarding protocols
• Full UK driving licence and access to own transport for regular field visits across the region
• Strong organisational and multitasking abilities with a calm demeanour under pressure
• Willingness to occasionally adjust hours to cover critical care gaps when needed

Responsibilities

• Roster management to ensure 100% shift coverage across client packages
• Lead staff supervisions, annual appraisals, and team meetings
• Maintain daily contact with service users, care staff and internal teams
• Assist onboarding of new care staff and ensure regulatory compliance of personnel files
• Manage last-minute schedule changes, cancellations and urgent gaps
• Represent service in MDT meetings and with commissioners
• Support safeguarding cases, incident reporting, and service quality improvements
• Participate in a shared on-call rota (roughly 1 weekday evening weekly and 1 weekend every 3–4 weeks)

About the Client

Kathryn Rose Consultancy is proud to partner of a fastest-growing healthcare and community support providers in the West Midlands. Delivering specialist 24-hour clinical care spanning Complex Care, Domiciliary Services, and Learning Disabilities, our client supports adults and children managing long-term health conditions such as spinal injuries, acquired brain injury, tracheostomies, PEG feeding, and ventilation.

To support their continued growth, we are searching for a Complex Care Coordinator to join their West Midlands head office.

The Role

This is a versatile, dual-function position combining core rota management with hands-on field supervision. It is ideally suited to a proactive professional who enjoys a fast-paced environment, varied daily responsibilities, and building strong working relationships with both care teams and clients.

Key Responsibilities

• Roster Management: Build, monitor, and maintain efficient care staff schedules to guarantee 100% shift coverage across all client packages.
• Field Supervision & Support: Lead staff supervisions, annual appraisals, and team meetings to maintain high clinical standards.
• Operational Communication: Maintain daily contact with service users, care staff, and internal teams to ensure seamless service delivery.
• Onboarding & Compliance: Assist in onboarding new care team members, ensuring all personnel files meet strict regulatory standards.
• Reactive Problem-Solving: Manage last-minute schedule changes, cancellations, and urgent gaps with a calm, effective approach.
• Multidisciplinary Collaboration: Represent the service alongside Clinical Leads and the Complex Care Manager in MDT meetings, reviews, and commissioner communications.
• Governance & Quality: Assist with safeguarding cases, incident reporting, and service quality enhancements.
• Out-of-Hours Support: Participate in a shared on-call rota (typically 1 weekday evening per week and 1 weekend in every 3 to 4 weeks).

What We Are Looking For

• Industry Background: Minimum 1 year of experience in care coordination, field care supervision, or team leading within a complex care environment.
• Compliance Knowledge: Sound understanding of CQC regulations, safeguarding protocols, and person-centred care delivery.
• Transport: Full UK Driving Licence and own reliable transport (essential for regular field visits across the region).
• Core Competencies: Outstanding organisational skills, strong multi-tasking abilities, and a calm demeanor under pressure.
• Flexibility: Willingness to occasionally adapt working hours (e.g., early starts or late finishes) to resolve critical care gaps when necessary.
