Purpose of the role

As Business Support Executive, you will play a crucial role in supporting our Senior team by assisting with and managing daily activities to ensure the smooth operation of The Digital Catapult Office in Belfast and UK Digital Twin Centre. The role incorporates a wide range of tasks including coordination and administrative assistance. A high level of organisation, great communication skills and the ability to handle information and some complex tasks with professionalism are required. The Business Support Executive is expected to serve as a key point of contact between senior internal and external stakeholders. You will play an important role in ensuring the Digital Catapult Office and UK Digital Twin Centre day-to-day operations are well-organised and efficient.

Requirements

WHAT YOU'LL DO (Duties)

  • Arrange and coordinate meetings, conferences, and video calls.
  • Prepare meeting agendas, take meeting minutes, produce actions and follow up on action items.
  • Ensure all necessary resources and materials are available for meetings including ordering catering for relevant meetings as and when required.
  • Compile and support the analysis of data for research and reporting purposes.
  • Draft and edit correspondence, reports, presentations, and other documents.
  • Maintain and organise confidential files, records, and documents.
  • Provide administrative assistance to the Director and DC Senior Team as required.
  • Manage the diary and make travel arrangements for senior team members as necessary.
  • Assist with preparation for and delivery of conferences and events.
  • Research and book venues and event spaces for off-site meetings e.g. including external Board meetings.
  • Meet and greet external clients.
  • Assist with broader responsibilities of the Office of the SLT as time allows.

WHAT WE'RE LOOKING FOR (Experience)

  • Previous experience in an administrative or business support role.
  • Business Administration - planning, managing and coordinating activities of both individuals and teams.
  • Business Intelligence - confident and capable with the creation of business reporting, analysis and data preparation.
  • Familiar with assisting operational needs through management and governance processes.
  • High level of competency using relevant IT systems including MS Office Suite.
  • Experience of project management systems would be advantageous.
  • Third level relevant business administration qualification (or equivalent experience).
