Job summary

Uttoxeter Racecourse is seeking a passionate Business Coordinator to support commercial and administrative activity on-site, acting as the central contact between sales hubs, delivery teams, clients and suppliers.

Working closely with the Business Manager, you will coordinate racing and non-racing packages, manage show-rounds and client requirements, and ensure information flows clearly and professionally to deliver a high-quality service.

Qualifications

  • Educated to A-level standard or equivalent; business/event qualification preferred.
  • Minimum 2 years in business, commercial coordination or development.
  • Highly organised with ability to manage multiple projects in a multi-stakeholder environment.
  • Experience with high-value clients and on-site event coordination.

Responsibilities

  • Represent the race course professionally to clients and requests.
  • Coordinate on-site restaurant, hospitality (race day) and EVH activity with sales hub and delivery teams.
  • Liaise with clients to finalise booking details and communicate with delivery team.
  • Act as account handler for existing client business on-site.
  • Coordinate invoicing with finance and ensure payments are made on the day where required.
  • Work with operations to ensure pre-race-day setup and deliveries.

About the role:

The Business Coordinator will support the smooth delivery of commercial and administrative activity across the racecourse, acting as the key site-based contact between the regional sales hubs, delivery teams, clients and suppliers. Working closely with the Business Manager, the Business Coordinator helps coordinate racing and non-racing packages, site-based commercial activity, show-rounds, client requirements and site-specific collateral, ensuring information is communicated effectively and presented professionally. The role requires a confident, positive and organised individual with excellent attention to detail, strong task management skills and the ability to prioritise effectively, meet deadlines and deliver a high-quality service to clients.

Responsibilities of a Business Coordinator...
  • Represent the race course in an appropriate and professional manner dealing with a variety of clients and requests.
  • Act as the on-site co-ordination for delivery of restaurant, hospitality (race day) and EVH activity working closely with the sales hub and delivery teams.
  • Acting as client liaison to coordinate final booking details with smooth communication to the delivery team.
  • Acting as account handler for specific existing client business, used to dealing directly with the race course.
  • Liaison with finance, final details to ensure accurate invoicing, ensuring before-the-day payments have been made.
  • Work closely with operations and the delivery team to ensure accurate pre-race-day / pre-event setup and deliveries, briefing where necessary.
  • Coordination of localised and group-wide sponsorship collateral provision and activation.
  • Ensuring marketing collateral is appropriate, up to date and in good supply.
  • Management of direct-to-site communication and flow of enquiry.
  • Work with ED in representing the business to the local community.
  • All business-related tasks within reasonable scope of the role.
The person we are looking for as a Business Coordinator has…..
  • Educated to A-level standard or equivalent. Business/event qualification preferred, with at least 2-years working in a business or commercial coordination role, or as a business developer wanting to move into coordination.
  • Highly organised, with the ability to manage multiple projects in a multi-stakeholder environment, to tight timescales. Proven experience in working with multiple teams, coming together to provide a high-quality service acting as the point-person on-site to ensure high-quality service delivery.
  • Client and account management experience, with experience in working with high-value clients and a proven ability to engender trust and respect. The ability and flare to showcase a site or an event for business show rounds.
  • Numerate, with good IT skills including MS Office products. Previous effective sales experience an advantage.
  • Affable and presentable, self-starting and tenacious, with a can-do attitude turning your hand to any reasonable project or activity.
