Job summary

Southampton Football Club's Saints Foundation is seeking a proactive Business Administration Assistant to support the day-to-day running of our charity at St Mary's Stadium, Southampton. This 12-month fixed-term contract is 20 hours per week and includes duties from inbox management to meeting planning and project support.

You will coordinate admin tasks, support compliance, and help maintain systems using Microsoft 365, SharePoint, and Teams.

Responsibilities

  • Act as central point of contact for administrative support across the charity.
  • Manage the Foundation inbox, respond to enquiries and direct communications.

  • Support organisation and administration of meetings, events, staff activities and project visits.
  • Coordinate work experience placements, stakeholder visits and induction programmes.
  • Maintain organisational systems, records and documentation; support compliance and audit.
  • Help manage office supplies, staff kit orders, vehicle bookings and facilities.
  • Provide wider business support and improve administrative processes.
  • Use Microsoft 365, SharePoint, Teams and AI technologies to improve systems.

What is the role?

We are looking for a proactive, highly organised and detail focused Business Administration Assistant to join our team. This is an exciting opportunity to play a key role in supporting the smooth day to day running of Saints Foundation, ensuring our colleagues have the systems, resources and administrative support they need to make a positive impact across our city.

What will you be doing?

Acting as a central point of contact for administrative support across the charity, you will help maintain an organised, professional and welcoming working environment, ensuring colleagues have the resources, information and support they need. You will manage the Foundation inbox, responding to enquiries and directing communications to the appropriate teams. You'll coordinate meeting arrangements, diary management, room bookings and workplace logistics, while also supporting the organisation and administration of meetings, events, staff activities and project visits. This will include coordinating work experience placements, stakeholder visits and the Club's new starter induction programme to ensure a positive and well organised experience for all involved. The role will involve maintaining organisational systems, records and documentation, supporting compliance and audit requirements, and helping to ensure information is accurate, accessible and up to date. You'll take responsibility for a range of operational processes, including managing office supplies, coordinating staff kit orders, overseeing company vehicle bookings and helping to maintain Foundation facilities and resources. You'll also provide wider business support across the organisation, working collaboratively with colleagues to improve administrative processes and ways of working. Using tools such as Microsoft 365, SharePoint, Microsoft Teams and AI technologies, you'll contribute to the continuous improvement of systems and services, helping the Foundation operate efficiently and effectively as it continues to grow its impact within the community.
