Key Duties and Responsibilities
  • Delivering a comprehensive administrative and secretarial service to the Adult Mental Health team and wider professional staff.
  • Managing electronic diaries and coordinating meetings, appointments, venues, travel arrangements and hospitality.
  • Preparing and formatting correspondence, letters, memorandums, reports, meeting minutes and PowerPoint presentations.
  • Arranging meetings, preparing relevant documentation and taking and distributing minutes.
  • Managing incoming and outgoing correspondence, including recording and distributing mail and drafting routine letters.
  • Acting as a key point of contact for telephone enquiries, responding appropriately and directing queries to relevant staff.
  • Maintaining effective filing systems, brought-forward systems and general office records.

  • Ensuring all patient and staff information is handled sensitively and in line with confidentiality and data protection requirements.

This position would suit someone who enjoys working in a busy healthcare environment and has a strong background in administration and secretarial support. The ideal candidate will be organised, proactive and confident communicating with a range of professionals. The ability to manage competing priorities, work independently and maintain a high level of accuracy is essential.

Essential Criteria

Applicants must meet one of the following qualification and experience pathways:

Option 1:
  • A minimum of five GCSEs at grades A-C, including English Language and Maths, or equivalent qualifications or a higher standard of education.

In addition, applicants must demonstrate:

  • Practical experience using Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
  • A current full UK-valid driving licence and access to a car upon appointment. This requirement may be waived for applicants whose disability prevents them from driving, provided an alternative form of transport approved by the Trust is available.
Essential Skills and Competencies

Candidates will also be assessed at interview or written assessment on their ability to demonstrate:

  • The ability to work effectively as part of a team while also using their own initiative.
  • Strong organisational and planning skills, with the ability to prioritise workloads and meet deadlines.
