Job summary

Heriot-Watt University invites applications for a Part-Time Project Coordinator role within the LocalTech Project: AI skills development in construction. The role focuses on coordinating industry engagement, workshops and curriculum co-design, with pro rata salary and 0.2 FTE on a 24-month fixed term basis.

The successful candidate will work with the Project Lead and industry partners to track activity, collect evidence, and monitor progress across multiple workstreams.

Qualifications

  • A degree in business, project management or another relevant discipline, or equivalent relevant professional experience.
  • Experience coordinating projects, meetings, events or stakeholder-engagement activities.
  • Experience working effectively with external stakeholders, such as employers, industry partners or professional organisations.
  • Strong organisational and time-management skills, with the ability to coordinate multiple activities and meet agreed deadlines.
  • Excellent written and verbal communication skills, including the ability to prepare agendas, minutes, short reports and stakeholder communications.
  • Ability to gather, organise and summarise qualitative and quantitative information, including stakeholder feedback.
  • Ability to work independently, use initiative and develop appropriate approaches to stakeholder communication and engagement.
  • Strong interpersonal skills and the ability to build effective working relationships across different teams and organisations.
  • Good digital skills, including competence in Microsoft Office, Teams and other relevant communication or collaboration platforms.

Responsibilities

  • Organise and support with the delivery of quarterly meetings of the Industry Stakeholder Steering Group, including preparing agendas and papers, recording actions and following up with members.
  • Coordinate employer workshops, consultation meetings, curriculum co-design sessions and other industry-engagement activities.
  • Maintain regular communication with the existing GA employer network and identify suitable opportunities and channels to broaden employer participation in the project.
  • Liaise closely with the GA Business Development team, participating employers, industry project partners and relevant University teams.
  • Gather structured information and feedback from employers on sector needs, curriculum development, workplace AI projects and the CRAFT toolkit.
  • Support the project team in evaluating the impact of the new curriculum and CRAFT toolkit by collating relevant quantitative and qualitative evidence.
  • Maintain records of employer engagement, workshops, feedback, project activities and agreed performance indicators to support project monitoring and reporting.
  • Develop and coordinate appropriate communications and engagement activities, exercising initiative in identifying innovative channels and approaches that strengthen employer participation and project visibility.
  • Contribute to project updates, reports and dissemination materials by collating information from the academic team, employer partners and other project partners in the wider network.
  • Coordinate the day-to-day administration of the project under the direction of the Project Lead, maintaining key project records and monitoring agreed actions and milestones.
  • Identify emerging engagement or delivery issues and bring these to the attention of the Project Team.
  • Undertake other duties appropriate to the grade and nature of the role, as agreed with the Project Lead.
