Do you enjoy building positive relationships with families and supporting events in a busy school environment? We are seeking an enthusiastic Admissions Assistant and Student Relations Administrator to join our team. This is an exciting and varied role that combines admissions administration, event coordination and pastoral support. As a key member of the Admissions team, you will be one of the first points of contact for prospective families, helping to deliver an exceptional admissions journey from initial enquiry through to enrolment. You will support the organisation of Open Days, taster days, school visits, fairs, and other recruitment events, while also assisting with communications, database management, alumni engagement, and administrative support for the Deputy Head Pastoral. The successful candidate will be professional, customer-focused, highly organised, and passionate about providing outstanding service to families and visitors. Purpose of the Role To provide comprehensive administrative support to the Admissions team and the wider college, ensuring prospective pupils and families receive a professional, welcoming, and efficient experience throughout their journey with the College. The role will also support wider school communication, events, alumni engagement, and provide administrative assistance to the Deputy Head Pastoral and Deputy Head Academic.

Key Responsibilities
Admissions Administration
  • Accurately record and maintain admissions enquiries and applicant information within the College database and admissions systems.
  • Respond promptly and professionally to admissions enquiries via telephone, email, website, and face-to-face interactions.
  • Arrange and coordinate private tours for prospective families.
  • Manage the scheduling of entrance assessments, interviews, taster days, and prospective pupil visits.
  • Liaise with parents, feeder schools, agents, Heads of Department, and teaching staff throughout the admissions process.
  • Prepare admissions correspondence, joining documentation, and offer letters ensuring accuracy and consistency of brand.
  • Provide guidance and information to families regarding the admissions process and academic programmes.
  • Follow up enquiries in a timely manner and maintain excellent customer service standards throughout the applicant journey.
Homestay and Guardian Management
  • Maintain accurate records of homestay providers, guardians, student placements, and associated documentation.
  • Act as a key point of contact for parents, guardians, homestay providers, and students regarding accommodation arrangements.
  • Liaise with families, guardians, homestay hosts, and College staff to ensure smooth placement and transition arrangements.
  • Monitor and maintain compliance documentation relating to guardianship and homestay arrangements.
Events and Recruitment Activities
  • Assist in the planning, coordination, and delivery of admissions and recruitment events including:
  • Open Days
  • Taster Days
  • School Tours
  • Entrance Assessment
  • School Fairs
  • Recruitment Events
  • Manage event registration processes, attendee lists, invitations, confirmations, and post-event communications.
  • Help prepare event materials, displays, literature, and promotional resources.
  • Support the organisation and logistics of recruitment travel.
  • Attend events as a welcoming and professional representative of the College.
  • Meet and greet prospective families and visitors, ensuring a positive and memorable experience.
Family Liaison and Customer Service
  • Act as a key point of contact for prospective parents and pupils.
  • Build positive and lasting relationships with families throughout the admissions process.
  • Provide timely and accurate information and support.
  • Communicate key admissions dates, deadlines, and event information.
  • Ensure all visitors receive a warm, professional, and informative experience.
Marketing and Communications Support
  • Support the admissions manager with admissions communications and related administrative activity.
  • Maintain and update information on College communication platforms, including My School Portal and ISAMs.
  • Assist with the distribution of prospectuses and admissions literature.
  • Manage stock levels of admissions materials and promotional resources.
  • Support communication campaigns promoting the College and its events.
Alumni Engagement
  • Assist with the development and maintenance of the College's alumni database.
  • Support alumni communications and engagement activities.
  • Assist in the planning and delivery of alumni events.
Student Administration
  • Provide administrative support to the Deputy Head Pastoral and the Deputy Head Academic.
  • Assist with scheduling, communications, record keeping, and meeting administration.
  • Support pastoral initiatives and student welfare activities as required.
  • Handle sensitive information with professionalism and discretion.
General Responsibilities
  • Maintain a comprehensive knowledge of School life, curriculum, pastoral provision, co-curricular opportunities, and university pathways.
  • Promote and support the College vision, values, and strategic objectives.
