Job summary

HCRG Care Group is seeking a dedicated Sexual Health Administrator in Rugby to support a busy multidisciplinary team. The role involves reception duties, appointment booking, and maintaining patient records to ensure a smooth clinic flow and high-quality patient experience.

You will work 32 hours per week in a part-time capacity, joining a collaborative team focused on safeguarding patient confidentiality and delivering effective care in a sensitive setting.

Qualifications

  • GCSE-level education, or equivalent, in Maths and English.
  • Experience in an administrative, reception or customer-facing role.
  • Confidence using IT systems, including Microsoft Word, Excel and PowerPoint.

Responsibilities

  • Provide a high-quality reception and administrative service to support daily running of the Rugby Sexual Health Service.
  • Welcoming patients and helping them feel comfortable and respected.
  • Booking and registering appointments; managing enquiries professionally.
  • Using electronic patient systems to record and update information accurately.
  • Producing letters and carrying out general administrative duties; managing correspondence.

Job description

We are looking for a dedicated Sexual Health Administrator to join our multidisciplinary team in Rugby, providing high-quality, confidential and non-judgemental support to people accessing our services. You will play an important role in helping our clinics run smoothly, supporting patients from their first contact through to the completion of their appointment and working closely with clinical colleagues to deliver an excellent patient experience. Package Description You will join a dedicated administrative team working closely with clinical and managerial colleagues across the Sexual Health Service. The team is collaborative, professional and patient-focused, supporting one another to deliver a safe, efficient and welcoming service. This is a part-time role working 32 hours per week., We are looking for a friendly and organised Administrator to join our Sexual Health Service in Rugby., You will be part of a busy and supportive multidisciplinary team that plays a vital role in the smooth running of our clinics. From managing appointments and patient records to answering enquiries and supporting clinical colleagues, your work will make a genuine difference to the patient experience. Main Responsibilities You will provide a high-quality reception and administrative service to support the day-to-day running of the Rugby Sexual Health Service. Your responsibilities will include:

  • Welcoming patients and helping them feel comfortable and respected
  • Booking and registering appointments
  • Managing telephone and face-to-face enquiries in a professional and sensitive manner
  • Using electronic patient systems to record and update information accurately
  • Supporting the effective use of clinic appointments and capacity
  • Producing letters and carrying out general administrative duties
  • Managing incoming and outgoing correspondence
  • Recording accurate messages and passing them promptly to the appropriate clinical colleague
  • Booking interpreters when required
  • Maintaining a safe, confidential and well-organised reception environment
  • Working collaboratively with clinical, administrative and managerial colleagues
  • Following agreed procedures and escalating enquiries or concerns appropriately

Because of the nature of sexual health services, you must be able to communicate sensitively, maintain strict confidentiality and provide non-judgemental support to everyone accessing the service.

Requirements
  • GCSE-level education, or equivalent, in Maths and English
  • Experience in an administrative, reception or customer-facing role
  • Confidence using IT systems, including Microsoft Word, Excel and PowerPoint
  • Ability to organise and prioritise your workload
  • Strong verbal and written communication skills
  • A professional, mature and non-judgemental approach when dealing with sensitive sexual health matters
  • Ability to work within agreed procedures, use initiative appropriately and seek guidance when required
  • Ability to work collaboratively as part of a multidisciplinary team
  • Understanding of confidentiality and the importance of accurate record-keeping
  • Ability to remain calm and professional when dealing with challenging or distressing situations
  • Flexibility and willingness to respond to changing service needs
Desirable
  • Previous experience within sexual health, primary care or another healthcare setting
