Job summary

Rydon Group Holdings Ltd in Sidcup is seeking an Administrator to support our NHS repairs and maintenance contracts. Based from Queen Mary's Hospital, Sidcup you will liaise between maintenance operatives and our contact centre.

There is potential for up to one day per week working from home after induction, with a 40-hour week Monday to Friday 8am–5pm. You will need excellent customer service, strong admin skills and good knowledge of Microsoft Office (Outlook, Word, Excel).

Responsibilities

  • Monitor repairs from inception to completion to meet contract timescales.
  • Plan and review scheduling diary activities for operatives and subcontractors.
  • Raise Purchase Orders and manage invoicing workflows.
  • Update databases and generate reports on spend and workloads.
  • Answer helpdesk calls and emails professionally and promptly.
  • Perform general administrative duties (filing, stationery, uniforms).

Job description

We now have an exciting opportunity for an Administrator to join our maintenance and repairs team. Based from our office at Queen Mary's Hospital in Sidcup you will be providing administration support for our repairs and maintenance service on one of our healthcare contracts.

This position will predominantly be based in the office. There is the potential for up to one day per week working from home following initial induction and training period.

Rydon has established a strong reputation for the quality within our maintenance division with a particular focus on NHS Hard Facilities Management - consisting of responsive repairs as well as planned/preventative maintenance. We look after more than 250 buildings on behalf of 20 NHS Trusts, from hospital's to ambulance stations, on a planned, responsive repairs and small works projects basis. We provide maintenance services to mental health trusts, ambulance and primary care trusts.

Job Purpose

The main purpose of the role is to ensure that repairs are scheduled efficiently and that work in progress (WIP) is pro-actively managed. You will do this by acting as the main link between our maintenance operatives and our contact centre team. You will also interface on a front line level with our end Clients within the NHS.

As Administrator other key responsibilities would include:
  • Monitoring and analysis of all repairs through from inception to completion to ensure contract timescales are adhered to. Escalating any issues to the Service Manager for timely action where targets may be missed.
  • Plan, monitor and review the scheduling management software (DRS) diary activities for maintenance operatives and sub-contractors.
  • Ordering and obtaining quotations for materials as needed, raising Purchase Orders and approving jobs for invoicing.
  • Updating databases, spreadsheets and and management systems with for example; cost information, timesheets.
  • Compiling various reports on subcontractor spends, engineer work loads, mileage sheets, invoicing and PPM and reactive jobs received during the month.
  • Monitoring the helpdesk, answering telephone calls and emails in a professional and timely manner.
  • General administrative duties, ie filing, ordering stationery and uniforms etc

This Administrator position is offered on a full time permanent basis and the working hours are 40 per week, Monday to Friday 8am to 5pm.

Experience Required

The ideal candidate will demonstrate previous experience of working within a contact centre and/or administration role for a responsive repairs/maintenance company. It would be an advantage for this experience to have been gained within a company providing repairs to the NHS, however candidates with repairs experience gained in other sectors will also be considered.

Above all you will have excellent customer service skills (including good telephone and written communication skills), a can-do attitude and have excellent knowledge of Microsoft packages such as Outlook, Word and Excel.
