We are currently recruiting for an Administrator to join our growing team in Birmingham. The role will provide high-quality administrative, secretarial, and operational support to managers, partners, and the wider team, while also delivering an excellent front of house service to clients.

Brief Job Description
- Acting as the first point of contact for the practice, greeting clients warmly and providing refreshments during meetings.
- Answering incoming telephone calls in a professional and friendly manner.
- Opening, scanning, renaming, and digitally archiving daily post into client folders.
- Managing outgoing post and handling client mail redirection requests.
- Assisting managers and partners with diary management and meeting coordination.
- Copy typing general client letters, reports, and administrative correspondence.
- Managing office stationery and carrying out scanning and photocopying tasks.
- Setting up new client records on IRIS and handling professional clearance and client information requests.
- Registering new companies with Companies House and processing share forms, including share-for-share documentation.
- Processing statutory updates, including changes of registered office address, year-end adjustments, and the satisfaction of charges.
- Generating monthly confirmation statements, issuing them to clients for approval, filing them electronically with Companies House, and rolling forward internal job statuses.
- Electronically filing completed statutory accounts with Companies House and rolling jobs forward.
- Supporting the accounts filing deadline list, keeping managers updated on upcoming deadlines and chasing outstanding client documentation.
- Preparing Corporation Tax letters for clients and compiling manager reports for fortnightly internal meetings.
- Supporting general invoicing, write-offs, and administrative processing at month-end.
Requirements for the role
The ideal Administrator will have previous experience in an administrative, practice support, or secretarial role. Experience within an accountancy practice or professional services environment would be highly desirable.
The successful candidate will also have:
- Strong general IT skills, including proficiency in Microsoft Word, Outlook, and Excel.
- Familiarity with accounting practice software such as IRIS and CCH would be advantageous.
- Excellent written and verbal communication skills with a professional and client-focused approach.
- Excellent organisational and time management skills, with a strong attention to detail.
- The ability to manage competing priorities and work effectively to deadlines.
- A proactive and positive approach, with the ability to work independently and as part of a wider team.
