Job description

Administrative Officer (2 Posts) (Ref: 256807)
Permanent, Full-Time: 36 Hours per Week
Band 4 (£31,537 - £34,303)
Edinburgh/Glasgow - hybrid working will apply for the foreseeable future (all roles require routine travel for in-person meetings, site visits, workshops and events)
Healthcare Improvement Scotland is the national improvement agency for health and social care in Scotland. We are seeking to recruit two professional, proactive and enthusiastic administrative officers, with opportunities available in the Scottish Medicines Consortium (SMC) and the Perinatal, Paediatric and Acute Adult Care (PPAC) Portfolio.
The SMC provides advice about the clinical and cost-effectiveness of all new medicines for use within NHS Scotland.
As an Administrative Officer, you will support the key administrative functions within SMC and contribute to the delivery of the SMC and New Drugs Committee (NDC) work programme by administering the programme of new product assessments and related processes.
The PPAC portfolio within the Medical and Safety Directorate forms part of the Scottish Patient Safety Programme (SPSP) and delivers a range of programmes. As an Administrative Officer, you will provide a broad range of administrative and coordination support to ensure the effective day-to-day running of the portfolio. This includes managing inboxes, meetings and events, maintaining records and tracking systems, supporting communications and recruitment activities, and contributing to the smooth delivery of portfolio programmes.
Successful candidates will be educated to HNC level in an administrative subject, or have equivalent experience gained in an administrative setting. You will have excellent organisational, time management and prioritisation skills, with the ability to work under pressure and meet competing deadlines in a fast-paced environment. Experience of working in a multidisciplinary setting and engaging with a wide range of stakeholders is essential, along with strong interpersonal, communication and teamwork skills. You will be confident using your initiative, take a proactive and solution-focused approach, and be proficient in Microsoft Outlook and Office applications, including advanced Word skills.
This is an exciting opportunity to support high-profile national programmes and contribute to improving health and social care across Scotland.
For further information or if you would like an informal chat about the posts, please contact Rosie Murray, Admin Manager on rosie.murray@nhs.scot (SMC) or Dagmara Lukowiec on dagmara.lukowiec@nhs.scot (PPAC).
Closing date: Midnight on Monday 28 September 2026
