Job summary

Medtronic in the United Kingdom is seeking an Administrative Assistant for the Managed Equipment Services within IHS Turn‑Key, based in Watford. The role supports day‑to‑day administrative operations across our managed service activities with a flexible arrangement requiring 2 days in the office.

Qualifications

  • High school diploma or equivalent and a minimum of 1 year of experience in an administrative role, preferably in a medical or regulated environment.
  • Proficiency in Microsoft Office Suite and the ability to accurately maintain records and databases.
  • Experience supporting documentation management, data entry, and administrative processes with high accuracy.

Responsibilities

  • Organize and maintain company records, including contracts, invoices, and related activities in AssetMax.
  • Coordinate meetings, appointments, and travel arrangements for staff and management.
  • Manage incoming/outgoing communications and provide timely responses to stakeholders.
  • Support equipment fault and maintenance activities with on-site teams and OEM suppliers.
  • Input and maintain accurate information across company databases and systems.
  • Provide administrative support to clients and partners by addressing inquiries and directing requests.

As an Administrative Assistant, Managed Equipment Services within Medtronic Integrated Health Solutions (IHS) Turn‑Key department, you will support the day‑to‑day administrative operations that enable the effective delivery of our managed equipment service activities across our UK sites. Based in Watford, United Kingdom, this is a flexible role requiring 2 days per week in the office. You will play an important and valued role in maintaining accurate documentation, coordinating administrative processes, and ensuring compliance with company procedures. Working closely with colleagues, clients, partners, and service teams, you will help ensure efficient operations across equipment maintenance and service management activities. This position requires strong organizational skills, a proactive attitude, attention to detail, and the ability to manage multiple priorities while supporting a highly regulated healthcare environment.

Responsibilities
  • Organize and maintain company records, including contracts, invoices, correspondence, and all related activities within AssetMax digital asset management system
  • Coordinate meetings, appointments, and travel arrangements for staff and management
  • Manage incoming and outgoing communications, ensuring timely and professional responses to internal and external stakeholders
  • Support Medical Equipment fault and maintenance activities by dealing with our dedicated on‑site teams across our Managed service accounts and dealing external with the OEM equipment suppliers.
  • Input, update, and maintain accurate information across company databases and systems
  • Provide administrative support to clients, colleagues, and partners by addressing inquiries and directing requests to appropriate departments
  • Ensure all administrative processes and documentation comply with company policies and applicable industry regulations
Required Knowledge and Experience
  • High school diploma or equivalent and a minimum of 1 year of experience in an administrative role, preferably within the medical sector, medical service department, or a similarly regulated environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to accurately maintain records, documentation, databases, and administrative systems
  • Experience supporting documentation management, data entry activities, and administrative processes with a high level of accuracy and attention to detail
  • Excellent verbal and written communication skills in English
  • Strong interpersonal skills with the ability to establish and maintain effective partnerships and working relationships in a multicultural and diverse environment
  • Strong organizational skills with the ability to multitask, prioritize workload, manage time effectively, and support inventory‑related administrative activities
