Job description

Dorset Healthcare is seeking an enthusiastic, flexible, and driven Administrative Assistant to join the Bournemouth Community Mental Health Team. The successful candidate will receive full support from an experienced Team Leader, along with training and tools necessary for success. Regular supervision, annual appraisals, and opportunities for creative input are provided, fostering a culture of continuous improvement.

If you possess a willingness to learn, previous administrative experience including audio typing skills, and the ability to succeed in this role, we want to hear from you.

The role requires flexibility to manage a busy workload and aligns with the Trust's values of patient-centred care focused on recovery and wellbeing.

The working pattern is 5 days a week, from 08:30 to 17:00, with a one-hour lunch break.

Employment requires an Enhanced Disclosure and Barring Service (DBS) check, which the Trust will cover. Applicants subscribed to the DBS update service can present a valid certificate instead of a new check.

Your responsibilities include providing secretarial, administrative, and reception support, liaising with the public and professionals across primary and secondary care. Given the nature of the service, some patients may be distressed; training and support will be provided to handle such situations. A compassionate ethos and resilience are essential.

You should have a solid administrative background or experience as a secretary, with strong multi-tasking and time management skills. Proficiency in Office 365 (Outlook, Word, Excel), excellent telephone manner, and communication skills for dealing with difficult patients are required.

Organization, motivation, deadline adherence, and attention to detail are crucial. You will also manage the Trust’s patient record system (RIO), ensuring compliance with data protection and GDPR legislation.

Additional duties include supporting the team with clinical correspondence, dictation, referral management, and minute-taking for meetings. An intermediate level of audio typing skills is necessary.
