Job description

Administration Supervisor
Who are we?

Newmedica is one of the leading providers of NHS ophthalmology services in England, delivering outpatient appointments, diagnostic testing and eye surgery to change lives through better sight and eye health.

We’re proud to have been certified as a Great Place to Work for the third year running and listed among the UK’s top 30 Best Workplaces for 2026 —recognition that reflects how colleagues feel about working here.

Our Purpose is to change lives through better sight and eye health, and our Vision is to end avoidable sight loss in every community we serve; we live our values every day—Commercial, Courageous, Compassion, Collaborative and Curious.

Role overview

We are looking for a new Administration Supervisor to join our Nottingham site. This will be 40 hours over 5 days per week, including 1 in 4 weekends on a rota basis. This is an 18-month fixed contract with potential to become permanent.

The Administration Supervisor plays a key role in ensuring that all admin processes are efficient, accurate and fit for purpose. Leading the admin team on a day-to-day basis you’ll ensure that only the very best level of care and attention is given to our patients and that all interactions they receive from us are clear, concise and correct.

You’ll ensure that patient confidentiality is always maintained in all verbal and written communication, and you’ll have a full understanding of patient pathways and the appointment processes to make sure the patient journey is a smooth one.

You’ll also have oversight of areas such as team rotas, payroll, organising marketing collateral, attending meetings, co-ordinating event organisation, training new starters, maintaining databases – it's a really varied role so we’re looking for someone who loves working in a fast-paced environment where every day is different.

We also need someone who is incredibly customer focussed and enjoys meeting and talking to people – the thought of eye surgery can be a daunting prospect for patients to deal with, so all our team members need to be empathetic and friendly and able to put patients at ease.

What skills and experience do I need?

We’re looking for someone with previous administrative experience, ideally in a supervisory capacity. And ideally, you’ll have worked in a healthcare environment before, but this is not essential.

We’ll provide full training on things like our systems and processes, but the following elements will be advantageous:

  • Awareness / understanding of the CQC regulatory standards
  • Ability to multitask and prioritise own work without supervision

  • Experience of implementing process improvement
  • A competent user of all Office 365 programmes
  • Tech savvy and comfortable working on new systems e.g. patient record systems
  • A good phone manner
  • An excellent grasp of the English language both verbally and in written format

  • A good team player – happy to jump in and support others when required
What we’re offering
  • A competitive salary depending on experience( £28,000- £30,000)
  • 25 days annual leave plus bank holidays
  • A company pension scheme
  • Access to a range of benefits including free eye tests, discounted or free glasses, a free 24/7 well-being/counselling/advice service and a retail/technology discount scheme.
  • An environment where you’re learning and development is supported through a range of various learning tools and courses.
  • Working with a friendly multi-disciplinary team passionate about improving the lives of our patients
  • A bright, spacious and modern working environment, built to the highest standards
