Job summary

Cumbria, Northumberland, Tyne and Wear NHS Foundation Trust is hiring an Administration Assistant (Band 2) for a full-time, permanent role based in Ashington. The post supports busy reception admin teams across Northumberland Recovery Partnership and North Tyneside Recovery Partnership, with duties from 8:30am to 5:00pm on a Monday–Friday rota.

The role offers 37.5 hours per week, with a salary of £25,272 per annum.

Qualifications

  • Good general education to GCSE level or equivalent.
  • NVQ Level 2 in Business Administration.
  • NVQ Level 2 in Customer Service.
  • Experience in administration and data handling.
  • Proficient with Microsoft Office and data entry.

Responsibilities

  • Welcome clients at reception in Ashington, Blyth or Wallsend sites.
  • Answer telephone calls and liaise with clinical colleagues.
  • Monitor inboxes and process queries with guidance from Admin Team Lead.
  • Manage incoming/outgoing post in line with Trust policies.

Job overview

Applications are invited from suitably qualified and experienced candidates to join our busy reception administration team within Northumberland Recovery Partnership (NRP) and North Tyneside Recovery Partnership (NTRP), in Ashington, Blyth and Wallsend respectively.

NRP and NTRP, in partnership with Waythrough, covers all drug and alcohol services within Northumberland and North Tyneside and is an ageless service.

The administration team supports clinical colleagues to deliver this service.

The administration team consists of an Admin Team Lead, Administration Officers and Administration Assistants.

The full-time role is Monday to Friday and you will work on a rota to provide cover from 8.30 a.m. to 5.00 p.m. There is also 1 late clinic a week which is covered on a rota basis

Main duties of the job

The main duties of the role will be:

  • meeting and welcoming clients to Greenacres in Ashington, Sextant House in Blyth and The Forum in Wallsend
  • Receiving client telephone calls and answering queries
  • Liaise with clinical colleagues on telephone calls and queries relating to clients
  • Monitoring inboxes and actioning queries with guidance from the Admin Team Lead
  • Managing incoming and outgoing post in line with service requirements and Trust policies

You should have excellent communication, customer service and organisational skills as you will have to interact with a variety of people. Resilience is also required due to the nature of the service.

The ideal candidate should have excellent communication, customer service and organisational skills, as well as a working knowledge of office procedures including IT skills.

You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you may not be shortlisted.

Person specification
Education and Qualification
  • Good general level of education to O-Level/ GCSE or equivalent in English Language
  • NVQ Level 2 in Business Administration.
  • NVQ Level 2 in Customer Service.
Skills and Knowledge
  • Working knowledge of Microsoft applications, including Outlook, Word, Excel and Power Point
  • Able to input data accurately and efficiently
  • Ability to maintain and update Patient Information Database(s)
  • Good communication and interpersonal skills, both verbal and written
  • Good working knowledge of office procedures ideally in an NHS environment
Experience
  • Experience of working in an administration role
  • Ability to uphold confidentiality at all times
  • Able to prioritise and plan own workload
  • Experience of working with paper-based and electronic filing systems
  • Calm and resilient and able to maintain professionalism
