The Role: Admin Assistant

We’re excited to announce a part-time Admin Assistant role at Infracapital, providing maternity cover starting c. July 2025. This is a fantastic opportunity to be part of a great PA team, working four days a week (Monday, Tuesday, Wednesday, Thursday) from 08:30 to 17:30.

In this dynamic position, you’ll be the go-to support ensuring smooth day-to-day operations across Infracapital. As an Admin Assistant, you are a key support resource for internal teams, leadership and externals – assisting to maintain order, efficiency, and professionalism in all administrative tasks. If you thrive in a busy environment and enjoy juggling multiple tasks, we’d love to hear from you!

You’ll be part of a supportive team of PA’s that includes three full-time assistants and two part-time assistants, with a hybrid working model. The position will typically work in the office about 50% of the time, but we’re open to discussing adjustments to this schedule to fit your needs.

Key Responsibilities:

  • Liaising with internals and externals for meetings and information requests
  • Support PA, investment, finance and IR teams with all admin requests
  • Liaising with internal departments, within M&G
  • Process invoices
  • Process corporate expense cards/reconciliation forms
  • Process and manage Oracle expenses
  • Create and manage all Infracapital distribution lists
  • Manage KYC requests liaising with various portfolio companies to deliver these on a regular basis
  • Responsible for signings for wider team such as NDA’s, etc
  • Working closely with the finance team in obtaining and applying signatures and merging documents such as payment forms etc.
  • Arrange notaries
  • Maintaining the upkeep of internal Directorship spreadsheet a
  • Print and bind meeting packs for external meetings
  • Submit weekly gifts and hospitality requests for wider team
  • Coordinate onboarding for new joiners and leavers requirements
  • Providing holiday and sickness cover within the PA team
  • Manage stationery cupboard
  • Creating and maintaining PA and MD summer annual leave trackers
  • Collect post and distribute accordingly
  • Organise team events such as quarterly socials, summer team building, Christmas party
  • General office upkeep
