Job summary

GLASGOW CITY COUNCIL AND ARMS LENGTH ORGANISATION is seeking an Admin Assistant to support efficient office operations and maintain high standards of customer service. The role involves handling administrative tasks, documenting processes, and coordinating communications across departments.

The successful candidate will have strong organisational skills, attention to detail, and the ability to work collaboratively within a busy team while maintaining confidentiality.

  • Troubleshoot issues and coordinate updates and backups.
  • Create purchase orders for suppliers and ensure smooth communication across teams.

About the Role

The Admin Assistant is a key role in the delivery of an effective and efficient office support. You will develop an overall knowledge of City Building, which strives to deliver excellent customer service to our clients.

  • supporting the efficient operation of the organisation by managing administrative tasks, systems, and resources
  • overseeing day-to-day administrative functions
  • providing user support
  • ensuring the maintenance and security of systems
  • maintaining accurate records and documentation
  • troubleshooting issues
  • coordinating updates and backups
  • creating purchase orders for suppliers
  • ensuring smooth communication across teams and departments
What You Will Bring
  • A dedicated individual with a strong focus on organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously whilst maintaining a high level of customer service and confidentiality
  • proven experience working within a busy team and accustomed to working to tight deadlines
  • positive approach to work and excellent communication and interpersonal skills
  • ability to work collaboratively with colleagues and stakeholders while also working effectively independently
  • solid understanding of office software, technical systems, and administrative processes, with a proactive attitude towards problem-solving and process improvement
  • relevant qualification/certification in Administration or equivalent is advantageous
