Job description

Accounts Payable Assistant - 12 Month FTC

The Accounts Payable Team is a vital function that requires individuals with vision, the ability to meet deadlines, embrace change, provide excellent customer service, and enjoy working in a dynamic, expanding business within the hospitality industry. The team is responsible for paying all overheads and expenses incurred by UK Soho House Group staff, managing supplier accounts, and resolving queries promptly, accurately, and efficiently. This role will interface across all UK business areas.

The AP Assistant will be responsible for paying suppliers within agreed timeframes, resolving queries promptly, maintaining good supplier relationships, and ensuring ledgers are accurate and up to date.

Main Duties:

  1. Statement reconciliations of all suppliers across multiple entities
  2. Investigating and resolving supplier queries
  3. Maintaining relationships with key suppliers, resolving queries, and keeping accounts current
  4. Processing invoices via Rossum AI and manual methods, including Adaco processing for multiple sites
  5. Maintaining and reducing unbilled POs within the Adaco system
  6. Managing a generic mailbox
  7. Processing supplier and company expense payment runs
  8. Reviewing and investigating unallocated cash
  9. Assisting with debit balances and requesting refunds where appropriate
  10. Requesting VAT invoices after proforma payments
  11. Supporting process and system improvements for the AP process
  12. Performing any other ad hoc duties as assigned by the line manager

What We Are Looking For:

  1. Experience processing high volumes of invoices
  2. Strong competency in statement reconciliations
  3. Excellent written and verbal communication skills
  4. Ability to work in a fast-paced environment and adapt to change
  5. Proactive approach with collaborative working style
  6. Previous experience in the hospitality industry
  7. Experience with SAGE Finance software
  8. Ideally, experience with ADACO Software Solutions (training provided)
  9. Hybrid working arrangement
