Job summary

Cranleigh School is seeking an Academic Administrator to provide executive EA support to the Deputy Head Academic, manage complex diaries, prepare briefing packs and support academic governance. The role sits within the academic office at Cranleigh Senior and offers a permanent full-time position during term time and beyond.

  • Strong organisational skills with attention to detail and the ability to prioritise under pressure.
  • Experience in administrative or support roles handling data tracking, routine communications, and day-to-day administration.
  • Advanced IT skills and proven data-management experience; comfortable building and maintaining spreadsheets.

Responsibilities

  • Provide executive EA and confidential secretarial support to the Deputy Head Academic, including diary management, correspondence, letters, and briefing packs.
  • Run meeting administration for Heads of Department, Academic Committee and pupil voice groups; prepare agendas, papers, minutes and action points.
  • Design and maintain master trackers for lesson observations, learning walks, reviews, and probation documentation.
  • Manage daily cover, maintain cover registers and produce usage reports.
  • Maintain central Curriculum List, Scholar/SEND registers and input academic data into iSAMS as required.
  • Collate pupil data and exam results for new pupils in collaboration with Admissions and Heads of Year.
  • Support exam timetabling logistics, room allocations, and re-rooming with iSAMS and Exams team.
  • Oversee the Diploma portal: monitor submissions and escalate issues to DHA.
  • Prepare weekly academic bulletins, assist with parent communications and format academic publications and handbooks.
  • Maintain the DHA’s ISI inspection evidence portfolio and GDPR-compliant electronic filing systems.
  • Maintain CPD and training records for academic staff and support the Director of Studies during busy periods.

Academic Administrator

Contract Type: Permanent, Full time, Term time plus

Salary: £28,000 per annum (c£37,000 FTE)

What you’ll be doing
  • Provide executive EA and confidential secretarial support to the Deputy Head Academic: complex diary management, correspondence, academic letter writing and preparing briefing packs.
  • Run meeting administration for Heads of Department, Academic Committee and academic pupil voice groups: prepare agendas and papers, attend, take accurate minutes and publish action points.
  • Design and maintain the master trackers for lesson observations, learning walks, work scrutinies, departmental reviews and probation documentation.
  • Manage daily cover (planned and emergency), maintain cover registers and produce usage reports.
  • Maintain the central Curriculum List, Scholar/SEND registers and input academic extras into iSAMS as required.
  • Collate incoming pupil academic data and external exam results for new pupils, working with Admissions and Heads of Year.
  • Support exam timetabling logistics, room/set allocations and re-rooming for exams or events via iSAMS and liaison with the exams team.
  • Oversee the Diploma portal: monitor submissions, produce completion reports and escalated issues to the DHA.
  • Prepare weekly academic bulletins, contribute to parent communications and collate, edit and format academic publications and handbooks.
  • Maintain the DHA's ISI inspection evidence portfolio, the master academic policy log and GDPR-compliant electronic filing systems.
  • Maintain accurate CPD and training records for academic staff and support the Director of Studies during busy periods.
What we’re looking for
Essential
  • Strong organisational skills with attention to detail; able to prioritise and remain calm under pressure.
  • Experience of an administrative or support role handling data tracking, routine communications and day to day administration.
  • Advanced IT skills and proven data-management experience; confident building and maintaining spreadsheets and central data lists.
  • Excellent written and verbal communication; comfortable preparing formal letters, reports and accurate minutes.
  • Approachable team-worker who can also work independently and manage confidential information appropriately.
Desirable
  • Experience with iSAMS and Google Workspace.
  • Experience of operational improvements or workflow design within a school setting.
About the team or department

You will be based at Cranleigh Senior within the academic office and report directly to the Deputy Head Academic. The post supports Heads of Department, Heads of Year, the Director of Studies and the academic Senior Management Team, providing a central, school-wide administrative hub for curriculum, assessment and compliance activity.
