Jobtailor seeks an experienced Medical Events Manager to oversee global planning and execution of pharmaceutical programs. You will coordinate with Asset Teams, cross-functional groups, and external agencies to ensure seamless events and compliant operations.

You will manage budgets, purchase orders, invoices, and payments, while maintaining high ethical standards and collaborating with Legal, Ethics & Compliance, and contracting teams to secure high-quality deliverables.

Qualifications

  • BA diploma required; experience coordinating pharmaceutical/biotech programs.
  • Strong project management and oversight across complex events.
  • Knowledge of pharmaceutical regulations and compliance (HIPAA, Sunshine Act).
  • Fluency in English and experience with high-level organizations.

Responsabilités

  • Serve as the key liaison for medical events and optimize operations.
  • Maintain links with Asset Teams, cross-functional teams, MCCE, Affiliates, and logistics agencies.
  • Lead global medical planning teams and align objectives with stakeholders.
  • Coordinate event logistics, including meetings and attendee participation, addressing challenges.
  • Manage external agencies for logistics and other functions to ensure high-quality deliverables.
  • Monitor medical event activities before, during, and after events for continuous improvement.
  • Oversee budgeting: PO creation, invoices, and payments with timely processing.
  • Collaborate with Legal Affairs, Center of Excellence for contracting, Purchasing, and Ethics & Compliance on service contracts.

Responsibilities
  • Act as the key liaison for all assigned medical events, streamlining communication and facilitating smooth operations.
  • Establish and maintain strong links with Asset Teams, Cross-Functional Teams, MCCE, Affiliates, and logistics agencies to ensure cohesive collaboration and effective event planning.
  • Drive global medical planning teams, actively engaging with key stakeholders to achieve alignment on objectives and strategies to optimize delivery.
  • Oversee event logistics, including coordination of ancillary meetings and affiliate attendee participation, ensuring seamless execution and addressing logistical challenges effectively.
  • Manage external agencies responsible for logistics and other functions, providing oversight and challenge to ensure high-quality deliverables.
  • Monitor all medical event activities before, during, and after the event, ensuring adherence to plans and identifying areas for improvement and success.
  • Pursue excellence in medical event execution by consistently seeking opportunities for optimization and implementing best practices to enhance outcomes.
  • Create and manage Purchase Orders, verify invoices, and track payments to ensure accuracy and timely processing.
  • Actively monitor and manage the budget for events, ensuring adherence to financial guidelines and resource allocation.
  • Collaborate closely with Corporate Legal Affairs, Center of Excellence for contracting, Purchasing, and Ethics & Compliance teams to create and manage service contracts with HCPs, and suppliers, ensuring all agreements meet company standards.
  • Handle general administrative duties as needed to support event planning and execution.
  • Ensure all actions comply with company ethics and policies, proactively identifying and flagging potential risks to maintain the highest standards of integrity.
Requirements
  • BA diploma
  • Strong experience with direct and sole accountability for planning, management, and oversight of all aspects of executing pharmaceutical and/or biotechnology programs, and medical events
  • Demonstrated competencies in supporting/working in high-level organizations.
  • Knowledge, understanding, and experience with pharmaceutical regulations such as (HIPPA and the Sunshine Act)
  • Previous project management experience
  • Hands-on working experience, knowledge, and understanding of both the conventional and pharmaceutical industries, as well as business practices that support best-in-class medical event planning management and execution within the healthcare industry
  • Fluency in English
