Role Profile
The Assistant General Manager is the operational lead of the residence and acts as the day-to-day deputy to the General Manager. The role is responsible for ensuring the smooth and efficient delivery of all operational activities while maintaining high standards of service, resident satisfaction, and compliance.
Working closely with the General Manager, the Assistant General Manager oversees the day-to-day operation of the residence, manages operational service delivery through internal teams and external contractors, supports the supervision of the reception team, and ensures that operational, administrative, and financial processes are executed effectively.
The Assistant General Manager plays a key role in creating a safe, welcoming, and well‑maintained environment for residents, while supporting the overall performance and success of the residence.
Responsibilities
- Support the General Manager in the day-to-day operation of the residence, ensuring high standards of service, resident satisfaction, and operational efficiency.
- Conduct regular inspections and ensure the residence remains safe, clean, and fully operational.
- Coordinate external contractors and service providers, including housekeeping, maintenance, security, and technical suppliers.
- Oversee maintenance requests, monitor service delivery, and ensure issues are resolved in a timely manner.
- Act as the primary operational liaison with Hines Management Services France for technical and maintenance matters.
- Support operational administration, rent invoicing processes, rent collection monitoring, and arrears follow‑up.
- Assist the General Manager in monitoring operational performance and cost control.
- Ensure a professional and responsive service for residents, visitors, and stakeholders.
- Support the resolution of resident concerns, complaints, incidents, and operational escalations.
- Contribute to creating a welcoming, safe, and engaging living environment.
- Provide day‑to‑day supervision and support to the reception team.
- Act as deputy to the General Manager when required and manage operational priorities in their absence.
- Support compliance with company policies, health & safety requirements, and local regulations.
- Participate in the out-of-hours emergency rota as required.
Person Specification
- Previous experience in student accommodation, residential, hospitality, property management, or a similar customer‑facing operational environment.
- Experience coordinating day‑to‑day operations and managing multiple priorities in a fast‑paced environment.
- Experience working with contractors, suppliers, and service providers.
- Good understanding of facilities management, maintenance processes, and health & safety requirements.
- Strong customer service and resident‑focused mindset.
- Experience supervising, supporting, or coaching front‑line teams.
- Excellent organisational and problem‑solving skills.
- Strong communication and interpersonal skills, with the ability to engage effectively with residents, colleagues, contractors, and stakeholders.
- Good administrative, reporting, and IT skills, including Microsoft Office.
- Ability to work independently, use initiative, and make sound operational decisions.
- Positive, proactive, and solution‑oriented attitude.
- Ability to handle sensitive situations with professionalism and discretion.
