The UNEP Plastics Initiative aims to tackle plastic pollution by consolidating projects and leading a system-wide transformation towards a safe circular economy for plastics. This role supports the Plastics Unit within the Industry Innovation Branch in Bangkok.
This role provides essential administrative and financial support to the UNEP Plastics Initiative team in Bangkok, assisting with the daily workload to facilitate the program's objectives. The Individual Contractor will support the preparation and tracking of various agreements, manage contracts, process payments, and ensure compliance with UN rules and regulations. Key contributions include managing UNEP/UNOPS contracts, overseeing expenditure reports, supporting meeting logistics, processing travel requests, and maintaining accurate financial records. The role is crucial for the smooth operation of the Plastics Initiative and its efforts to accelerate market transformation towards a circular economy for plastics.
Assist in preparing and tracking donor agreements and legal instruments, ensuring compliance with UN rules and regulations. Manage UNEP/UNOPS contracts, coordinating payments and overseeing expenditure reports. Support the organization of meetings and events, including virtual/hybrid technical support and logistics. Manage travel requests for participants and consultants, ensuring timely disbursement of allowances and processing of expense reports. Oversee the procurement process for DSA cash cards. Ensure proper processing and filing of legal obligations, such as expenditure, progress, and final reports. Prepare payment requests for administrative processes. Undertake other administrative duties, including meeting organization and draft minute preparation.
A high school diploma or equivalent is required. A first-level university degree in finance, accounting, business, or public administration is desirable. Experience with UN rules and regulations or similar international organizations is also desirable.
A minimum of five years of experience in administration of financial documents and contracts is required. Experience in finance and budget management is essential. Experience with an Enterprise Resource Planning (ERP) system is also required. Experience in analytical and writing skills for memos, letters, briefings, and reporting is necessary.
Proficiency in computer skills, including Excel and MS Office suite. Exceptional organizational skills and attention to detail. Ability to collaborate effectively within a team in a fast-paced environment. Strong oral and written communication skills. Capability to manage multiple tasks in an orderly and punctual manner.
