Job summary

DayOne is expanding its international office operations and seeks a Senior Workplace Specialist to ensure smooth daily functions in Helsinki. You will manage facilities, coordinate vendors, process invoices, and support onboarding while maintaining a welcoming, compliant workspace for a diverse team.

You will interact with vendors and colleagues across functions in English and Finnish, contributing to an efficient, well-organized workplace culture in a fast-paced, growth-focused company.

Qualifications

• Previous experience in administration, office support, operations coordination, or a similar role in an international environment.
• Facility coordination and vendor management experience is an advantage.
• A structured and detail-oriented working style with strong organizational skills.
• Strong communication skills and a service mindset with internal teams and external vendors.
• Comfort with systems (M365, SAP), documentation, and basic financial processes (invoices, purchase requests).
• Excellent communication in English and Finnish, both written and spoken.
• Ability to maintain confidentiality and handle sensitive information.

Responsibilities

• Supporting the daily operations of the office to ensure the workplace runs smoothly and efficiently.
• Acting as the first point of contact for visitors, vendors and service providers to ensure a professional experience.
• Maintaining a functioning office environment, including supplies, workspace readiness, and onboarding arrangements.
• Processing invoices in accordance with internal finance procedures and collaborating with Finance on submissions and payments.
• Liaising with vendors and coordinating vendor registration processes and documentation.
• Coordinating and arranging visits for external vendors for office services, maintenance, and facilities support.
• Assisting with workplace safety coordination and ensuring compliance with building guidelines where applicable.
• Supporting internal initiatives that enhance workplace experience and employee engagement.
