Job summary

ZEST Hotel & Resort Ibiza is seeking an experienced Reservations Manager to lead our reservations operation ahead of opening. Reporting to the Director of Revenue Management, you will oversee bookings for rooms, suites, and villas, ensure inquiries convert to bookings, and collaborate with Revenue, Sales, Front Office and Guest Experience.

You will implement MEWS workflows, train the team, optimize conversion, and contribute to pre-opening testing and system rollout to deliver effortless guest

Qualifications

• Experience leading a Reservations team in luxury hotels, resorts, or lifestyle hospitality.
• Strong knowledge of reservation processes, distribution channels, and booking systems; MEWS is highly desirable.
• Understanding of revenue management principles, rate structures, inventory, and channel performance.
• Ability to develop, coach, and motivate reservations professionals to hit targets.
• Experience collaborating with Revenue Management, Sales, Front Office and Commercial teams.
• Excellent organizational skills and attention to detail with multiple priorities.
• Fluent in English and Spanish; other languages are advantageous.

About the Role

As we prepare for opening, we are looking for an experienced Reservations Manager to lead our reservations operation and help create a seamless booking experience for every guest.

Reporting to the Director of Revenue Management, the Reservations Manager will oversee the day-to-day reservations operation for rooms, suites, and villas, ensuring all enquiries are handled efficiently and converted into bookings wherever possible.

Working closely with Revenue Management, Sales, Front Office, and Guest Experience teams, you will play a key role in translating commercial strategy into exceptional service delivery. From implementing systems and procedures during pre-opening to developing your team and optimizing conversion performance, you will help ensure that booking with ZEST feels effortless from the very first contact.

As our property management system is MEWS, you will support the successful implementation of systems, processes, and best practices across the reservations function.

Key Responsibilities

• Lead, train, motivate, and develop the Reservations team, establishing clear service standards and performance expectations.
• Build and implement pre-opening reservations procedures, workflows, service standards, and quality assurance processes.
• Oversee all reservations activity for rooms, suites, and villas, including amendments, cancellations, payments, deposits, and special requests.
• Manage telephone, email, website, and partner enquiries with a focus on responsiveness, accuracy, guest satisfaction, and conversion.
• Ensure rates, booking conditions, packages, and reservation details are correctly configured and maintained within MEWS.
• Work closely with the Revenue Manager to support pricing strategies, inventory controls, availability management, and revenue optimization initiatives.
• Identify opportunities to increase direct bookings, improve conversion rates, and maximize upselling and cross-selling opportunities.
• Coordinate group, wholesale, VIP, and negotiated bookings in collaboration with the Sales team.
• Monitor reservation performance metrics, including conversion rates, response times, booking accuracy, and productivity.
• Resolve guest booking issues, complaints, and complex reservation requests with professionalism and care.
• Ensure guest preferences, special requests, and critical information are accurately communicated to operational departments.
• Support pre-arrival guest engagement and collaborate with Guest Experience and Front Office teams to create personalized stays.
• Produce regular reservations reports and provide insights to support revenue and commercial decision-making.
• Contribute to pre-opening testing, systems implementation, training, and operational readiness activities.

Experience & Qualifications

• Previous experience leading a Reservations team within a luxury hotel, resort, or lifestyle hospitality environment.
• Strong knowledge of hotel reservation processes, distribution channels, and booking systems; experience with MEWS is highly desirable.
• Good understanding of revenue management principles, rate structures, inventory management, and booking channel performance.
• Demonstrated ability to develop, coach, and motivate reservations professionals to achieve performance targets.
• Experience working closely with Revenue Management, Sales, Front Office, and Commercial teams.
• Strong organizational skills and attention to detail with the ability to manage multiple priorities effectively.
• Excellent communication, interpersonal, and problem-solving skills.
• Professional fluency in English and Spanish; additional languages are considered an advantage.
• Previous pre-opening experience within a hotel or resort environment is highly desirable.
